The Accommodation Specialist is responsible for all aspects of leaves of absence, disability, accommodations, interactive process communications, and the development and implementation of procedures to achieve optimal employee productivity and experience.

Essential Functions:

  • Serves as the main point of contact and liaison between employees, business partners and our outsourced vendor partners, assessing human resources needs in areas such as employment restrictions and considerations
  • Ensures ADA/FMLA and company policy compliance with regard to employee leaves, job accommodation requests and the return-to-work process
  • Keeps abreast of federal and state leave of absence policies and laws, in addition to understanding job accommodation and interactive processes
  • Oversees all types of extended leave of absences for our US workforce, provide exceptional customer service to employees navigating through their time off requests, coordinate relevant information with applicable vendors
  • Serves as a point of contact for each employee out on leave; this includes helping employees initiate a claim and setting proper expectations, maintaining regular contact with the employee while they are out, facilitating requests for accommodations and the return-to-work process
  • Serves as point of contact for team members and/or supervisors to identify and provide reasonable accommodations. Coordinates and maintains documentation on accommodation efforts
  • Oversees the return-to-work process for team members returning from leave and coordinates with managers to discuss accommodations needed
  • Performs periodic check-ins for employees on accommodations and requests appropriate documentation for modifications or extensions
  • Partners with Lead Leave and Accommodation Administrator, Human Resource Business Partners and Employee Services Administrator (Worker’s Compensation) to review status of cases and develop legally sound strategies for mutually beneficial resolution
  • Facilitates timely communication to all applicable functions/departments and leave management vendors
  • Ensures all requests are responded to in a timely manner and that all leaves are managed in accordance with company policies and legal requirements
  • Performs payroll administration of employees on an active leave of absence, ensuring that applicable paid hours are submitted each payroll cycle
  • Responds to employee-impacting issues that may arise during the leave event and verify that proper communication occurs
  • Meets with benefit team on consistent basis to support the administration of applicable benefits and premium repayments
  • Maintains system records for accurate and timely information/documentation
  • Recommends and implements policies related to absence management
  • Ensures compliance with federal/state regulations and company policy
  • Works safely at all times and adheres to all applicable safety policies; complies with all company policies, procedures, and standards
  • Performs other duties as assigned

Education and Experience

  • High School Diploma or equivalent preferred
  • Two years of specific experience in Leave of Absence administration in a high volume, fast-paced environment required

Knowledge, Skills, and Abilities:

  • Knowledge of applicable state and federal laws and regulations, specifically focusing on applicable federal and state laws pertinent to benefits administration, including FMLA, ADA, ERISA, HIPAA, Workers’ Comp, etc.
  • Working knowledge of Microsoft Office Suite with a emphasis on Excel, time reporting systems, HRIS/payroll systems
  • Interpersonal skills that facilitate prompt and constructive solutions
  • Problem-solving and planning skills
  • Technical knowledge, influencing capabilities, and self-management capabilities
  • Ability to communicate both verbally and in writing with all levels of management, as well as outside individuals and groups
  • Ability to manage both day-to-day operations, as well as project work in a fast-paced, complex environment
  • Ability to work on multiple projects and deal effectively with employees and management
  • Ability to identify complex problems and to review related information to develop and evaluate options and implement solutions
  • Consulting and influencing abilities; ability to resolve conflicts, and gain cooperation among competing interest groups
  • Ability to handle sensitive and confidential matters appropriately
  • Strong organizational, communication and time-management skills
  • Attention to detail and ability to prioritize in a changing environment
  • Ability to work independently, yet manage to tight deadlines
  • Strong computer/technology proficiency experience
  • Experience working with HR databases, involving data input, data maintenance and data retrieval
  • Strong organization skills; must be extremely detail oriented. Attention to detail is critical for success in this role
  • Must have good judgment and discretion in handling confidential information
  • Ability to build trust and act accordingly using discretion is essential to success in this role

Travel:

  • Up to 10% travel, generally no more than twice a month
