Role Summary

To provide administrative support of Talent & Total Rewards including, but not limited to; correspondence, calendar handling of confidential information and matters, arranging meetings and conference calls, coordinating travel and program logistics.

Key Responsibilities

  • Coordinate logistics for leadership development and talent planning events
  • Format PowerPoint presentations and coordinate printing of handout materials for senior leadership meetings
  • Research and connect with external resources regarding speaking and/or educational events
  • Collect and/or calculate data and information, as requested, and organize the data to convey the intended message
  • Coordinate communication within team and outreach to related teams like Communications and Marketing on assigned projects.
  • Coordinate contracts (new and renewals) for department
  • Coordinate invoice routing to process for Talent & Total Rewards payment.
  • Track team and ensure allocation to the appropriate budget
  • Provide meeting support including scheduling event, facilities, catering, and coordinating speakers
  • Coordinate Vice President of Talent & Total Rewards calendar
  • Arrange travel for Talent &Total Rewards leadership team
  • Complete expense reports for the Talent &Total Rewards leadership team
  • Draft memos or email correspondence
  • Monitor and answer emails and phone calls, as requested, on behalf of the Vice President to ensure emails are routed appropriately for response
  • Handle other administrative duties such as but not limited to; filing, photocopying, taking meeting minutes, ordering supplies, and correspondence.

Key Qualifications/Requirements

  • High School Diploma required; Associate's Degree or Bachelor's Degree preferred
  • 5+ years of experience providing administrative support
  • Display excellent written, verbal, and interpersonal skills
  • Detailed-oriented in nature
  • Comfortable working with multiple levels, from entry level to senior management
  • Able to maintain confidentiality of highly sensitive information
  • Proficiency in Microsoft Office )Word, Excel, PowerPoint, Outlook)
  • Demonstrated ability to work on multiple projects under tight deadlines and ability to adapt to changing business requirements
  • Willing to embrace multi-cultural working environments

Additional Information

  • Normal amount of sitting or standing, average mobility to move around an office environment, able to conduct normal amount of work at a computer.
  • Vision abilities required by this job include close vision and ability to adjust focus.
  • May require local travel.
