Brief Summary of Job Duties

The TM Administrative Assistant for the Department of Technology Management (TM) serves as the point of contact for the program. Assists in organizing and planning as well as executing TM events. Provides general administrative, financial and student affairs support for the department. Provides general assistance for Technology Management related activities as directed by the MSO, Student Affairs Manager, and supervisor. Will assist with compiling information and reports as it relates to the operation of the department.

Minimum Qualifications

  • High School Diploma or GED.
  • Skill in managing sensitive and confidential information.
  • Good verbal and written communication skills, active listening, critical thinking and time management skills.
Preferred Qualifications
  • Bachelor's Degree or equivalent experience and/or training.
  • 1-3 years general administrative and/or clerical experience
  • Thorough knowledge of administrative procedures and processes including word processing, spreadsheet and database applications.
  • Interpersonal and work leadership skills to provide guidance to other non exempt personnel.
  • Ability to interpret policy and communicate it to others impacted by policy such as students and faculty.

Conditions of Employment

  • Satisfactory completion of a conviction history background check.
  • Must be able to work flexible hours (some evenings and weekends) to support events. No more than 5 events per quarter and of the total 15 events per year; three would be required.

Job Functions/Percentage of Time/Duties

  • 60% Financial/Administrative Support - Assists with or is responsible for financial tasks, particularly those that require separation of duties by campus and accounting policy. These include but are not limited to purchasing activities in Gateway, Flexcard, GUS, Concur, People Soft, TOEs, TOFs. Will be a back-up Concur delegate as needed. Responsible for office supplies inventory including ordering and disposing of obsolete items. Assists with event logistics in support of the department as needed. This includes but is not limited to verifying menus, reservations, parking arrangements, student volunteers, signage and flyers. Assists individuals responsible for events to create and execute the event day of. Is the designated I-9 Tracker system user that verifies all I-9 activities required by campus, policy and law. Is responsible for disbursement, collection of keys for department controlled space. Is responsible for ensuring that everyone has access to VOIP phones and will train people to use Zoom VOIP phones. Will be responsible for submitting all facilities requests and if there is cost associated with a request, will verify with MSO or the financial team if that is okay and what funding should be charged. Assists MSO & Academic Personnel Manager with compiling data for temporary sub zero budget for TMP courses. Provides statistical information on enrollment, lecturers and academic student employees. Recruits and coordinates interviews and hiring process for teaching assistants and readers. Responsible for maintaining the temporary sub zero expenses in the unit database. Provides assistance for Technology Management related activities including hiring teaching assistants and readers, scheduling all courses and communicating with the MSO and Student Affairs Manager regarding teaching needs and issues. Assists with website updates as assigned by MSO or the administrative team. Assists in the coordination of seminars, workshops, campus meetings, and student enrichment events and ceremonies.
  • 40% Advising/Course and Student Support - ADVISING: Provides advising for certificate students. Disseminates student and student related departmental information, via email, website. COURSE RELATED ACTIVITIES AND SCHEDULING: Coordinates the following quarterly processes: course scheduling, preparation and submission of instructor workloads, preparation of IRAL report, and teaching evaluations. Consults with the TM Student Affairs Manager and the Management Service Officer (MSO) on course scheduling and preparation. Develops and manages a system for course scheduling preferences. Prepares and reviews all proofs and updates the online quarterly schedule of classes. Implements course enrollment restrictions on schedule proofs and on campus systems. Provides enrollment statistics to assist in scheduling TA assignments. Prepares and submits alteration forms to Student Affairs Manager for approval. Responsible for requesting and managing one time use room request needed for the program. Will assist faculty and instructors with disable students' accommodation requests. In consultation with Student Affairs Manager, will manage wait lists, add code distribution, and special requests as needed. Responsible for ensuring that ESCIs are generated and disseminated each quarter. STUDENT DATABASE INFORMATION: Maintains current certificate student and alumni databases and systems as directed by the Student Affairs Manager. SCHOLARSHIP ADMINISTRATION: TM scholarship program includes Harold Frank scholarship awarded twice per academic year and the Young Innovator Scholars awarded each fall quarter. Responsible for ensuring that scholarship guidelines are followed and that only eligible students are in consideration for each scholarship. Compiles and ranks names for the TM Student Affairs Manager. Responsible for completing the necessary campus forms to disperse the scholarships.
