The Administrative Assistant II will work in a team environment to help in the administration of election staffing which includes, but not limited to, scheduling, payroll processing, and fielding calls from the public as it relates to County Clerk functions. The right candidate will have a positive demeanor when interacting with colleagues and with members of the public.

Essential Functions

  • Answer and direct incoming calls to the proper division of the County Clerk’s Office or Department within the County
  • Assist customers with any questions, and/or direct them to proper online information
  • Perform tasks as delegated
  • Communicate with the general public, referring customers to the proper resource, supplying moderately technical information or providing answers that require interpretation of a well-defined standard and rules to more routing individual cases
  • Compiling and reviewing information
  • Data entry
  • Form processing
  • Scheduling of activities, work orders, and events
  • Creating correspondence and documents
  • Creating work monitoring and follow-up systems
  • Maintain automated and manual spreadsheets and reports
  • Accurately and efficiently process and/or oversee election tasks
  • Assist with special projects
  • Perform other ad hoc duties as assigned by supervisor

  • Excellent organization skills
  • Strong analytical skills and able to follow directions-
  • Problem solving skills
  • Ability to work with a team and independently
  • Proficient to advance skill level in Microsoft Office Suite Program
  • Ability to exercise discretion and judgement in applying rules and procedures
  • Customer/Constituent oriented

Education and/or Other Requirements

  • 1 to 2 years of experience in an administrative role
  • Basic understanding of computer software

Physical Requirements

  • Ability to sit in front of a computer for long periods of time.
  • Ability to lift 10 lbs., if needed
