The Administrative Assistant (Porter) performs a variety of remote general administrative tasks for the Operations department.

Essential Functions:

  • Provide general administrative and clerical support including but not limited to:
    • Compose, type, and distribute professional correspondence, memoranda, and E-mails
    • Manage project calendars and team calendars as requested
    • Assist and maintain Porter schedules
    • Review and respond to daily internal and external mail
  • Coordinate meetings including but not limited to:
    • Prepare and distribute agendas and other meeting materials
    • Schedule meetings via MS Teams and MS Outlook
    • Meeting Notetaker: Record and transcribe meeting minutes
  • Organize and maintain database
  • Provide support of all Porter staff
  • Conduct research, compile, and type statistical reports
  • Attend virtual meetings as needed
  • Assist with special projects as assigned
  • Perform other related duties as assigned by management

Knowledge and Skills:

  • Ability to demonstrate a high level of professionalism in dealing with confidential and sensitive issues
  • Proficiency in MS Word, MS Excel, and MS Outlook a must
  • Ability to use SharePoint
  • Excellent communication skills-written and verbal
  • Ability to prioritize projects and strong problem-solving skills
  • Good attention to detail
  • Ability to work independently
  • Ability to speak, read and write English

Education and Experience:

  • High School Diploma is required. Associate degree is preferred.
  • 2 years’ relevant experience is required
  • Bilingual in Spanish preferred
  • A valid Class C driver's license is required
  • Must be authorized to work in the U.S.
  • Must be able to travel within the Continental United States (CONUS).
  • Must pass a drug test, motor vehicle record check, a background check, and provide proof of being fully vaccinated for Covid-19 after accepting a conditional offer of employment.
