Administrative Coordinator, Radiology Resident and Fellowship

POSITION SUMMARY:
The incumbent will provide administrative coordination for the Radiology Department. In this role he/she will partner with and support the Chief of Radiology and the Director of Radiology. Performs a variety of tasks specifically aimed toward the organizational mission which include but not limited to: Resident and Fellow rotator coordination, payroll, imaging and reports management and general administrative support.
ESSENTIAL FUNCTIONS:
- Fellow and Resident Rotator Coordinator:
- Rotator calendar and roster creation
- Weekend coverage coordination
- Credentialing and onboarding process documentation
- Department orientation of all new residents and fellows into the department, including dictation process, passwords, schedules, and gathers all paperwork needed.
- Payroll Support
- Management of all technologists and administrative support payroll and acts as a resource for all payroll questions or issues
- Payroll allocation management
- Imaging and Radiology Reports Support:
- Uploading outside CD’s and imaging reports
- Processing physician and patient requests for records
- PACs and external dictation service support
- Maintain and organize various department functions:
- Code Cart log maintenance
- Technologists License management including primary source verification
- Assist with updating policies and procedures
- General administrative support:
- Front Desk coverage, including patient check in and scheduling
- Radiologist’s calendar coverage
- Administrative support to the Associate Director of Radiology
- General office support, including ordering office supplies, submitting service requests, mail and faxes.
- Maintains strict confidentiality regarding all physician and employee matters at all times. Secures confidential information throughout the workday
- Communicates effectively to technologists, radiologists and other staff to ensure efficient work and patient flow.
EDUCATION AND EXPERIENCE
Bachelor’s Degree preferred but will accept candidate with experience in lieu of degree.
- Strong demonstrated organizational skills, with proven experience prioritizing work and coordinating multiple projects simultaneously.
- Detail-oriented, with excellent oral, written and interpersonal skills.
- Excellent Windows Office experience including Excel spreadsheet experience.
- Demonstrated ability to work closely with radiology and hospital staff.
- Demonstrated ability to provide excellent customer service to patients and providers.
- Exceptional problem solving, critical thinking and customer service skills.
- Prior event planning and implementation experience desired.
- Ability to take on new tasks and adapt to different work assignments and personalities.

PHYSICAL REQUIREMENTS:
Mental and visual attention requiring a combination of alertness and manual dexterity, with a minimum of 40 words per minute typing speed using a PC.

Training on the requirements of the HIPAA Privacy Rule and the plan’s health information policies and procedures under the direction of the institution’s privacy officer is a pre-requisite for this position.

EDUCATION AND EXPERIENCE:
- Associates degree, Bachelor’s Degree preferred, or equivalent combination of education and experience required.
- Requires 5 years of experience in a medical administrative position within a busy medical service/department.
- Excellent verbal communications skills required for the telephone, interaction with patients and others, strong organizational skills a must. EPIC and prior authorization experience for Radiology a plus
