Job Description


The Associate Managing Editor manages the daily workflow of a few brands within the Editorial department. They work as part of an editorial team, with direct reports, where they are the manager, supervised by the Associate Director or Director. In addition to copy editing and fact checking, they manage the ins and outs of their editorial brand team; they mentor and train editors; manage deadlines and expectations; delegate workload; participate as a member of the larger brand team; oversee supplemental staffing; manage launches, and ensure that editing and fact checking within their brands is consistent and accurate. They also oversee the upkeep of brand style guides.


The right candidate will have substantive healthcare marketing experience and fluency with AMA style, the ability to multitask, work under deadlines, and manage high volume workflow. Communication skills and the ability to assess large workflows is imperative to being successful in this position. Launch and label update experience is a must. They will feel comfortable working on print and digital copy and be able to work with various client/brand style guides.


The Associate Managing Editor should feel comfortable working in a deadline-oriented environment, be flexible with schedule, and able to problem solve without jeopardizing accuracy. Thinking outside the box is sometimes necessary and being able to proactively come up with solutions with the larger team is an asset to management.

ABOUT THE EDITORIAL TEAM


As a member of the Editorial department, you’ll be surrounded by the most accuracy-driven and eagle-eyed editors that pharmaceutical advertising has to offer. From conception to execution and everywhere in between, the editorial team is involved in the reviews of brand initiatives and works as part of the core team to see a project to completion. All editors, regardless of seniority, are responsible for copy editing, proofreading, and fact checking on a daily basis. We work in a team dynamic, where silos are broken down and sharing of information is encouraged.


RESPONSIBILITIES


Editorial/Hands-on Work

  • Copy edit, proofread, fact check clinical copy for a few brands; manage supporting editors on these brands
  • Work with editorial team to ensure consistency across initiatives
  • Take on appropriate projects and own them, start to finish
  • Manage upkeep of multiple brand style guides
  • Daily check-ins and relaying of information to the team
  • Upkeep of the editorial workload tracker
  • Ability to understand staffing allocations and visual upcoming workflow
  • Attend brand status meetings, kickoffs, and allocation meetings


Management

  • Assign team editors who are best suited for each project based on ability and workload
  • Manage workload to maximize productivity of the editorial team, ensuring that everyone is busy and billable
  • Allocate weekly the hours needed by your team to get the work done; ensure appropriate staffing and engage/manage supplemental staffing, if needed
  • Collaborate and communicate with editorial and larger brand team
  • Thrive under pressure in a fast-paced, deadline-oriented environment
  • Multitask and prioritize deliverables based on deadline
  • Delegate work to appropriate editors; help them prioritize
  • Participate in status meetings as editorial representative
  • Attend kickoff meetings – speak to editorial milestones and negotiate timing with PM
  • Manage reviews and professional growth of direct reports


Leadership

  • Become the editorial voice for your accounts
  • Ensure editorial and routing process is being correctly followed by all disciplines
  • Develop good relationships with your larger brand team
  • Work with Project Management to ensure deadlines are realistic
  • Work with Editorial Management to address performance, workflow, and quality issues
  • Lead the editorial team in launches or general work initiatives
  • Assure that all editors (full time and freelance) are trained and, where needed, mentored to maintain the standards and expectations of the agency and the client, and to meet their own career goals

Qualifications

  • At least 7+ years’ agency experience and at least 4 years’ experience managing editors
  • BA degree (Advertising, Communications, Fine Arts, or related field preferred – medical background with a very strong interest and love for grammar and copy editing a plus!)
  • A proven track record of leadership and getting your hands dirty with copy editing and fact checking projects on a daily basis
  • Familiarity with and comfort comprehending medical subject matter
  • Experience using Adobe Acrobat and ProofHQ to proofread, copyedit, and fact check
