Associate Registrar
Hondros College of Nursing

The Associate Registrar is responsible for maintaining the integrity, accuracy, and confidentiality of academic records. This individual will oversee the development, assessment, and implementation of policies and procedures pertaining to the quarterly course offering, the coordination of commencement activities, the student completion process, to include testing and testing results tracking, and assists in the development, implementation, and training related to academic and operational policies and procedures. The Associate Registrar serves as the Registrar in the Registrar’s absence. Reports directly to the Registrar and indirectly to the Director of Institutional Effectiveness and Assessment. Direct Reports: Federal Work Study Students.

Responsibilities:

Maintaining Quarterly Course Offering:

  • Facilitates/Coordinates the quarterly course offering, including updates and changes.
  • Works closely with management on each campus to ensure offering accuracy.
  • Analyzes course offering metrics relevant to student enrollments.
  • Updates quarterly schedule within CAMS.

Commencement/Graduation Activities:

  • Facilitates communications between campuses and third party vendors.
  • Facilitates communications regarding student graduations eligibility.
  • Processes diploma/degree printing and delivery to campuses/graduates.
  • Ensures accuracy of degree audit information.
  • Provides notification of eligibility for specialized testing to The Ohio Board of Nursing, and other state boards as applicable.
  • Monitors NCLEX testing results via the NCLEX Dashboard to ensure accurate data reporting.
  • Works closely with VP’s, and Campus Deans to ensure accuracy and timely processing and reporting of testing data each term.

Analyzing and Distribution of Database Reports:

  • Collaborates with other departments to prepare statistical student population reports.
  • Provides College statistical information for external reporting, such as IPEDS,OBN Annual report, NC-Sara report, and other accrediting/approving agencies.
  • Researches and develop appropriate recommendation for policies/procedures.
  • Researches trending practices within the market and continue to analyze department policies/procedures to remain competitive.

Processing Student Status Updates:

  • Processes student withdrawals and course drops.
  • Ensures accurate information in CAMS regarding course drops and program withdraws.
  • Assists in the readmission process for students returning from withdrawal or dismissal status by providing an updated degree audit.
  • Provides Registrar with Student Academic Progress (SAP), and pace of progression data for readmission process.

SMS Tester/Trainer:

  • Server on the tester team for updates to the system.
  • Assist with system training for new users and general training related to new/updated policies/procedures.
  • Assist with troubleshooting issues.
  • Assist with best practices as related to new or updated policies/procedures.

Registrar’s Office Support:

  • Ensures compliance (FERPA, accrediting agencies, local, state, and federal regulations).
  • Performs routine Registrar’s Office tasks, such as running transcripts, processing education verifications, data entry, addressing student/faculty/staff inquiries.
  • Support the catalog committee, and ensure all content is accurate.
  • Conduct training and implementation of new/updated policies/procedures.
  • Represents the Registrar’s Office at different departmental committees and in the absence of the Registrar.
  • Responds to phone and e-mail inquiries in a timely manner.
  • Interviews and recommends employment for the office work-study student.
  • Participate in state organizations such as the Ohio Association of Collegiate Registrar’s and Admissions Officers (OACRAO) and the Ohio Transfer Council (OTC)
  • Serves as the Registrar in the Registrar’s absence
  • Other projects and duties as assigned.

Requirements:

  • 2 years’ work experience in a Registrar’s Office or other administrative office in an institution of higher education required.
  • Thorough knowledge of Federal Education Rights and Privacy Act (FERPA).
  • Proven skills in the areas of leadership, project management, and customer service are required.
  • Strong operational knowledge of collegiate procedures, and experience in computerized student record systems are required.
  • Microsoft Office or similar software; SQL Server Development or Crystal Reports XI experience as a report writer preferred.
  • A strong knowledge of compliance and accreditation. Preferably with State Board of Career Colleges and Schools, ABHES, DOE, and OBR.
  • Communicate effectively in writing and orally.
  • Have the ability to analyze, synthesize and disseminate complex information, identify concerns and alternatives, and formulate feasible and logical solutions.
  • Must be willing to learn new technology and develop new skills.
  • The ideal candidate must demonstrate the ability to make sound professional judgments, the desire to work collaboratively in a team environment, and the ability to handle stress in a positive manner.
  • Ability to maintain confidentiality of information.

Education:

  • Bachelor’s Degree required (or equivalent professional experience)
