THE ROLE
Invictus Academy is an independent public charter school located in El Cerrito and we are seeking a Chief Business Officer (CBO) to join our team who believes deeply that the mission, model, and values at Invictus are driving improved educational outcomes for students.
The CBO plays an invaluable role in overseeing and coordinating all budget and finance related topics to ensure our school is operating to its full potential to meet its mission. The CBO works closely with our Executive Director, Board of Directors, and Leadership Team to inform and consult on key strategic goals, challenges, and approaches. It is responsible for overseeing several key areas, including Human Resources and Back Office support providers. Additionally, the CBO ensures that accounting systems meet federal, state, and local financial compliance regulations and ensures the integrity of and accuracy of our financial records in order to meet regulatory and audit standards.
We are seeking a candidate who brings leadership skills and knowledge in Charter School finance and regulations. Additionally, we are looking for an individual who demonstrates creativity, can build strong internal and external relationships, and will take initiative to help Invictus grow and remain fiscally stable. We are looking for a candidate who is highly reliable, can balance many responsibilities and is willing to go above and beyond as a member of the team.
We are seeking exceptional individuals to execute the following “essential job duties” and responsibilities:
Leadership and Strategic Planning
- Lead and implement Invictus’ short and long-term strategic planning efforts in alignment with our Charter; design and maintain a multi-year financial projection model.
- In collaboration with School Leaders, develop a budget preparation process and prepare an annual school budget in alignment with the Local Control Accountability Plan.
- In partnership with the ED, leadership team, and members of the Board of Directors, establish financial targets to ensure strong financial health and financial sustainability.
- Make monthly presentations to the Board of Directors on financial topics, budget data, attendance and enrollment data, and other related items as requested, recommending both strategies and solutions to maintain the strong fiscal health of the organization.
- Meet regularly with the leadership team and budget managers to review financial information; design and implement training needs.
- Serve as an Invictus ambassador, communicating knowledgeably and passionately about our mission in order to develop and strengthen relationships with key stakeholders
- Serve as the primary point of contact with consultants and external vendors.
- Be knowledgeable around trends in education finance, particularly as related to Charter Schools.
- Coordinate the activities of the Business Services and Human Resources departments, including the oversight of insurance programs, payroll, and workers’ compensation.
- Hold responsibility for developing and improving organizational efficiencies in budgeting processes.
- Support long-term strategic planning related to financing, acquisition, and project management of a permanent facility.
Budget Management
- Develop and issue standards, procedures, and operating instructions that will govern the business, financial, and data processing services of the Business Services department.
- Responsible for control of school funds including: ongoing budget analysis, monitoring, and reporting of categorical programs, special projects, grants, and entitlements.
- Coordinate all budget related communications and activities with internal school departments and personnel, and external county, state, and federal agency contacts.
- Complete monthly reconciliation of all School funds, including all balance sheet and income statement accounts, cash management, accounts payable and receivable, and grant accounting, and that all funds received are deposited appropriately and in a timely manner.
- Use technology and data systems to forecast, track, and analyze budgets and to provide timely and accurate information for decision making purposes.
Reporting and Compliance
- Prepare, plan and manage the fiscal year end closing process, ensuring accuracy of the Invictus’ financial data for school financial statements and managing the annual audit process.
- Responsible for ensuring that all accounts, ledgers, and reporting systems accuracy and full compliance with GAAP standards, industry best practices, and regulatory requirements, and Invictus policy.
- Responsible for financial reporting and analysis, accounting, cash flow planning, investment management, grant oversight, and risk management.
- Serve as liaison with State and County Department of Education, and professional organizations with regard to accounting, budget, and payroll related reporting.

REQUIRED QUALIFICATIONS
- Bachelor’s Degree.
- A minimum of five years’ experience in increasingly responsible management positions in a business services role, preferably in public schools or other public agencies.
- Demonstrated knowledge of California public school accounting, finance, budget, and audit procedures as well as federally-funded program procedures
- Experience at working with external auditors, compliance and regulatory oversight
- Excellent organizational and analytical skills; effective problem-solving skills and the ability to implement programs, procedures and systems, manage details, and work independently.
- Ability to communicate effectively by raising critical issues, communicating with and involving stakeholders, and managing any potential issues or challenges promptly and collaboratively.
- You have experience monitoring and analyzing data and knowledge of school data and reporting systems.
- Ability to prioritize tasks, exercise patience, demonstrate strong judgment, and adapt to changing priorities.
- You are professional, warm and collaborative with students, families, and colleagues.
- You believe that academic rigor and joy are not only compatible, but are key to driving outcomes for students.
- You believe that strong routines and consistency is essential to creating a safe learning environment.
DESIRED QUALIFICATIONS
- Master’s Degree in Business, Public Policy, Economics, or related field, and/or possession of a Certified Public Accountant (CPA) certification.
- Chief Business Officer Certification*
- Invictus will cover the cost of obtaining a chief business officer certification within one year of employment.
