Job Overview
The Colleague Advisory Specialist is responsible for providing advice and support to People Leaders in handling performance and conduct issues through AskHR or in bound calls, will conduct analysis regarding performance issues across the Enterprise and target actions, programs and processes to improve selection and performance of employees. The Colleague Advisory Specialist independently investigates employee-initiated claims in partnership with Legal, Human Resource Business Partners and People Leaders in accordance with company policies, practices and applicable laws. Perform other duties as assigned. This position can be based out of any Macy’s Store or Support Location where space is available and technology requirements are met
Essential Functions
- Provide advice and support to People Leaders regarding employee performance and conduct issues including the execution of the Performance and Conduct Management process for associates below VP level
- Coach People Leaders in coming to the best course of action, focusing on developing management employee relations and decision making skills.
- Manage performance and conduct based corrective action administration to include reviewing documentation, drafting and/or reviewing corrective action forms, preparing People Leaders for presenting corrective action.
- Timely and consistent follow-up on performance improvement, or movement through the Performance and Conduct process, contributing to a stronger talent pool across the Enterprise.
- Measurement and analysis of employee performance and conduct issues to track trends and develop proactive programs for performance improvement and success.
- Conduct investigations and achieve resolution on all employee-initiated claims, including but not limited to Solutions InSTORE claims, TUWYT (Tell Us What You Think), Global Compliance and Presidential letters. Partner with the Centers of Expertise and Law Department as appropriate.
- Manage individual investigations including but not limited to interviewing employees, People Leaders and witnesses and ensuring claim resolution consistent with company policy and process.
- Initiate and maintain Salesforce case tracking for investigations as well as performance and conduct issues.
- Communicate with and influence People Leaders regarding application of company policies and procedures.
- Navigation of challenging situations through effective conflict resolution techniques.
- Collaborate with multiple stakeholders with differing points of view while maintaining confidentiality of complex and highly sensitive subject matter.
- Act independently to influence outcomes by providing sound, consistent advice to all levels of the organization.
- Make recommendations for policy changes or enhancements based on experience with prior situations; identify unproductive internal processes and recommend improvements.
- Maintain associate files through imaging of investigations as well as Performance and Conduct Management documents.
- Timely processing performance and conduct terminations and responding to all related unemployment claims.
- Research confidential company records, online knowledge articles and be fully knowledgeable of all company policies and procedures and their application. Strive for continuous learning, remaining up-to-date on legal guidelines and internal policies in order to provide accurate guidance in response to inquiries.
- Collaborate with peers and business partners regarding special assignments to drive improved results and efficiencies.
- Exhibit flexibility in job assignments as part of a cross-functional team; provide a positive impact on the engagement culture of the team and through interactions with business partners.
- Leverage internal self-guided training resources through Ignite for personal growth and development of self and others.
- Assess and mitigate risk associated with disciplinary actions and make partners as appropriate.
- Train in other areas of Associate Support and be able to move from one role to the other when needed.
Qualifications:
Education/Experience:
- Bachelor’s degree preferred.
- At least 5 years of HR experience preferred, involving investigating, researching and resolving manager and associate issues.
- Demonstrated experience in handling high volume, fast paced work.
- Must be able to learn new and changing technology systems and work processes, and use them consistently.
- Proven track record of solid collaboration working with various work groups.
- Experience working strongly with a team of fast paced professionals with a high standard of professionalism and confidentiality.
- Prior experience in conflict management strongly preferred.
- Practices open and continuous communication, values keeping others informed, effectively presenting information in a clear, concise manner.
- Excellent leadership, facilitation, and interpersonal skills, with the ability to work across functional lines and at many levels
- Ability to think creatively, strategically and technically
- Ability to work a flexible schedule based on department and Company needs
- Knowledge of MS Office computer programs are required

- Must have above average mathematical skills, including the ability to compute rates, ratios, and percentages, and the ability to work with mathematical concepts such as probability and statistical inference.

- Strong problem solving and conflict resolution skills required.

- Adept at interviewing employees, witnesses and supervisors to gather relevant case information, preparing detailed documentation and maintaining files in preparation for potential future claims.
- Ability to maintain highly confidential information.
Work Hours:
- Ability to work a flexible schedule based on department and store/company needs.
- May include occasional nights and weekends.
