Program: BCFS Health and Human Services: Residential Services Division
Reports to: Records Management Director or DA Lead
Status: Regular, FT

Frequency: Hourly
Education: Required – High school diploma, or equivalent; Preferred – Bachelor’s degree from an accredited institution
Experience: Required – Two (2) plus years of related experience and/or training; Preferred – Four (4) plus years of related experience and/or training

Essential Functions:
1. Ensures compliance with established internal procedures by auditing scanned records, reports, and documentation.
2. Maintain a comprehensive digital archiving system and be able to locate and retrieve information from files as directed.
3. Communicates audit findings to leadership by compiling reports and discussing findings.
4. Receives, tracks, and responds to high volume inquiries and requests for stored records from internal and external agencies in a timely manner.
5. Complete timely and accurate documentation or training in accordance with agency policies and procedures and contract and regulatory requirements and standards.
6. Meet all deadlines required by program supervisor and federal partners.
7. Other duties as assigned.
Measurable Deliverables:
1. Meet all federal and state regulatory guidelines and standards that are applicable to this position.
2. Participate in scheduled meetings, in-service training and team decisions as needed.
3. Maintain BCFS HHS professional and ethical standards of conduct outlined in BCFS employee handbook including demonstrating respect for agency staff, children, and community members and complying with required dress code at all times.
4. Maintain confidentiality in all areas of the child and program operations.
5. Communicate effectively and professionally by phone or face-to-face with agency staff, vendors, community members and regulatory and contract staff.
6. Compile, prepare, submit, and maintain accurate records, files, forms, statistics, and additional information in accordance with agency policies, licensing and/or contract requirements.
7. Maintain confidentiality in all areas of child and program operations.
8. Maintain BCFS HHS professional and ethical standards of conduct outlined in BCFS employee handbook including demonstrating respect for agency staff, clients, and community members and complying with required dress code at all times.
Credentials, Skills and Abilities:
1. Maintain current licenses and certificates required for the position including but not limited to:
First Aid CPR Emergency Behavior Intervention Other: __________________
2. Pass a pre-employment drug screen and random drug screens and maintain emotional control and professional composure at all times.
3. Provide proof of work eligibility status upon request.
4. Pass a pre-employment and biennial criminal background checks.
5. Demonstrate the ability to:
a. Respond sensitively and competently to the service population’s cultural and socio- economic characteristics.
b. Work collaboratively with other staff members, service providers and professionals.
c. Work in a fast-paced environment and maintain control and professional composure at all times.
d. Maintain computer literacy required to meet the responsibilities of the position.
e. Work effectively and without intensive supervision both independently and as a member of a multidisciplinary team.
6. Demonstrate a working knowledge of all Residential Services policies and procedures.
