Bank of Marin, voted by our employees as one of the “Best Places to Work” in the North Bay Business, is seeking a Document Imaging Associate to join our Administrative Services department at our corporate office in Novato.

The Document Imaging Associate is responsible for independently using operating imaging applications for use in the creation of electronic files or archives. Responsible for preparing, scanning & indexing physical and electronic documents/images being stored in an optical database in electronic/digital format, ensuring electronic documents adhere to quality control standards.

Essential Duties:

  • Configure, research and troubleshoot cold storage in the Wausau (Optima) Archival and BARR

Systems. Perform daily report verification, including reviewing the verification and unidentified item reports, and maintenance of report records.

  • Provide support to branch and department personnel related to document management tasks including document retrieval, report research, and imaging procedures.
  • Retrieves documents and files as requested and maintains appropriate logs and records of work activities for document imaging.
  • Ensure the accuracy of each statement cycles from our core processor by reviewing a sample of statements as well as the SLA, ADF and Image Control reports.
  • Fulfill departmental research requests for statements and images, assists other staff with heavy or unusual volumes including card production and items related to document imaging as required. Ensures these are completed accurately and timely.
  • Responsible for providing support to branches and departments related to electronic reporting and documents.
  • Under general supervision, responsible for Optima report verification, configuration, and research.
  • Follow appropriate notification process to communicate issues and errors to Document Imaging
  • Coordinator or Administrative Services Manager to ensure quick resolution.
  • Serve as back up to Document Imaging Coordinator, as needed.
  • Additional duties as required.

Additional Requirements:

  • Possess end-to-end knowledge of document imaging related processes and procedures including the creation, preparation, indexing, verification, work station configuration and reporting of electronic documents from various banking departments.
  • Ability to image paper and electronic documents into optical archival system using ad-hoc upload, scanning equipment, Outlook integration, and scan queues.
  • Ability to navigate, review, and retrieve, and configure auto-imaged and system documents in the Optima / Unity archival system and workflows including document types, document type groups, keywords and data set import.
  • Possess thorough understanding of quality control standards including image quality, recognition of designated documents, and preferred formatting.
  • Must be able to provide legendary customer service.
  • Must have good organization skills, with the ability to process several requests concurrently.
  • Ability to communicate effectively with vendors, customers, and bank personnel of all levels.
  • Must be able to keep a routine schedule.
  • Must have intermediate computer skills, including Microsoft Outlook, Outlook Integration, Word and Excel.
  • Must be detail oriented and possess assertive approach
  • Ability to work independently and as part of a team.

Professional/Educational Requirements:

  • Minimum 1 year related experience and/or training.
  • High school diploma or general education degree (GED) and/or one year certificate from college or technical school; or equivalent combination of education and experience.

The hiring pay range for this position is $16.01 to $24.60. In addition to the pay range listed, all bank positions are eligible for incentive compensation, which varies based on role. The pay rate for a successful applicant depends on a variety of factors including but not limited to geographic location, work experience, education, and/or skill level.
