Job Description
Document Intake Coordinators receive and screen a large variety of documents necessary to perform needs analysis to determine federal and institutional eligibility. They are familiar with federal tax laws and financial aid requirements set forth by the Department of Education. They support the Financial Aid Services (FAS) team in assuring the office remains in compliance with ever changing federal regulations.

Coordinators work in a high-volume and fast-paced environment to apply knowledge of swiftly changing federal regulations and institutional requirements to each document they screen. They also provide excellent customer service by advising applicants and their families on the promptest resolution to application or eligibility issues.

This position is anticipated to be filled on a fully remote basis. Not all geographical areas within the United States are eligible.

Qualifications
  • Associate’s degree and/or an equivalent combination of education and experience.
  • One – two years experience working in Financial Aid or tax preparation.

Job Specific Qualifications
The qualified candidate must demonstrate attention to detail, have strong organizational instincts, and effective time management skills. They should have a working knowledge of the following: Federal Methodology, Institutional Methodology (CSS Profile), federal tax forms and schedules. PeopleSoft and Onbase experience is desired.

Responsibilities
Accept and review thousands of required financial aid documents annually, according to Federal tax laws, Federal verification requirements and institutional policies. Some examples of records to be reviewed are federal tax returns, marital status verification, child support verification, asset verification, real estate mortgage and assessment paperwork, citizenship status, selective service. All must be checked for completeness and clarity before moving on to the review process. Strict guidelines associated with Federal match issues and Federal Verification must be followed. Much of this process involves multiple communications sent to the student in order to explain and resolve issues.

System updates for document tracking:
All documents must be recorded in the Peoplesoft system on a daily basis in order for financial aid staff and/or students to be aware of their current status. Records may need to be scanned and indexed into Onbase, checklists must be updated, and the student’s account must be notated regarding all missing information, any outreach performed in an attempt to resolve discrepancies, and additional relevant circumstances. It is imperative that all new information is reviewed and documented in Peoplesoft daily in order to reduce a student’s unnecessary dealings with the office at peak times. Many communications are sent requesting specific information to confirm what has been reported (upwards of 4000 emails/year). Attention to detail and strong communication skills are required.

Troubleshooting and problem solving:
Many times information is unable to be recorded or loaded into Peoplesoft, because of missing or incorrect information. This position reviews reports or other data sources, and using logic and University databases, attempts to match the records to the appropriate student/applicant. Once the student is identified, the information is loaded into Peoplesoft, re-indexed into Onbase, and the appropriate document tracking procedure followed.

Training and supervising 5 federal work study students and/or temporary employees:
These positions must be thoroughly trained as they assist the Document Intake Coordinator in reviewing the documentation submitted.

Federal match reporting:
All Federal match issues once resolved must be electronically submitted to the CPS and the National Student Loan Data System
