Document Management Technician
Performs basic (sometimes moderate) searches in CMS to identify all records related to a single claimant/victim.- Enters documents into the Master Mailing List (“MML”) database, capturing key data points, such as date received, document type, and claim type.
- Identifies and initiates Expedited processing procedures on pertinent claims. Identifies when a submission is received within the VCF.
- Creates a data discrepancy with claim information in CMS; documents the issue(s); and routes to the DDD Team for further processing and/or resolution. Identifies and initiates special routing of Changes of Representation, Expedite Requests, User Delegation Requests, Congressional Inquiries and Letters to the Special Master.
- Ensures all PII specific information on all documents received is identified and redacted prior to CMS ingestion.
- Review and audit of all claim files to ensure all scanned documents are in hard copy file for archival. Maintain and retrieves claim files for Claim Reviewer or VCF Staff review. Escalates inquiries to the Supervisor when necessary. All DMA I and/or DMT duties as assigned.
- Maintain and retrieves claim files for Claim Reviewer or VCF Staff review. Sometimes serves as Team Leader for larger group of Document Management Technicians. Reports to Task Supervisor or Project Supervisor.
Qualifications
- Undergraduate degree and a minimum one year work experience is required. Demonstrated ability to work independently in a team environment.
- Ability to perform detailed work consistently, accurately, and under pressure is important. Must be able to read and follow instructions and ask questions as needed.
- Must be able to understand tasks, tasks objectives, and the claims processing support effort as a whole.
- Must have good writing skills, high attention to detail and strong verbal communication capabilities. Hands-on familiarity with typing/keyboarding skills, PC-based databases (such as MS Access), MS Office suite of products, and web-based systems.
