Position Title: Executive Assistant to the President & Chief Scientific Officer
Reports to: President/CEO
Location: Hybrid office NYC
Background
The Lupus Research Alliance (LRA) is the world’s leading non-governmental, non-profit funder of lupus research. Over the past 20 years, the LRA has invested over $220 million in lupus research in more than 525 research and clinical studies. More recently, the LRA established an affiliate organization, Lupus Therapeutics (LT), which is responsible for the coordination, conduct and management of a North American-based clinical trial consortium, the Lupus Clinical Investigators Network (LuCIN). LT through LuCIN is currently conducting 9 Phase I through III clinical trials.
Position Summary
The ideal person for the Executive Assistant job will be a proactive problem solver with exceptional communication skills and meticulous attention to detail. They will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will be able to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle various activities and confidential matters with discretion. The incumbent will primarily be the President’s Executive Assistant but up to 25% of time will be allocated to the Chief Scientific Officer (CSO).
Responsibilities
- Perform a broad variety of administrative tasks for the President/CEO & CSO including managing an extremely active calendar of appointments, completing expense reports, composing and preparing correspondence that is sometimes confidential, managing calendars, itineraries, and agendas, and compiling documents for travel-related meetings
- Provide a bridge for smooth communication between the President's office and internal departments, demonstrating leadership to maintain credibility, trust, and support with senior management staff
- Draft and prepare correspondence for internal announcements, board meetings, and organizational communications coming from the President/CSO office
- Taking dictation and minutes during meetings; disseminating, following up, managing up to deadlines, and keeping track of the progress of various initiatives with which the President is involved.
- Work closely and effectively with the President to keep them well informed of upcoming commitments and responsibilities, and following up appropriately
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature.
- Prioritize conflicting needs by handling a variety of issues expeditiously, proactively, and with a high level of professionalism
- Other duties as assigned
Qualifications/Skills
- BA/BS degree or equivalent required
- 2 to 4 years of experience supporting executives, preferably in a nonprofit organization
- Excellent written and verbal communication skills
- Strong time-management skills and the ability to organize and coordinate multiple projects at once
- Proficiency in Microsoft Office and other office productivity tools, with the aptitude to learn new software and systems
- Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
- Demonstrated ability to achieve high-performance goals and meet deadlines
