Front Desk Scheduler Responsibilities:
  • Schedule patients (new and established).
  • Open the office in the morning, greet patients and clinic visitors.
  • Responsible for the readiness of the reception area for each working day.
  • Reception area duties (phones/copy/printer support) & keep workplace areas tidy and clean.
  • Answer ITS main phone line and log details of all calls for team to follow up.
  • Follow up and handle messages (email, EMR, voice mail).
  • Handle and manage the continuous flow of information (via email, telephone and fax).
  • Participate in staff and educational meetings.
  • Perform other specified duties whenever assigned.
  • Maintain records and reports.
  • Monitor patient charts to make sure they are complete.
  • Explains clinic policies to patients while receiving and delivering messages.
  • Collect patient co-pays and payments, as well as the daily reconciliation of their collections.
  • Respect and maintain privacy and dignity of clients, assure client confidentiality at all times.
  • At the close of each working day, secure the office and follow end of day protocols.
  • Input all information into ITS’s practice management system.
  • Monitor patient wait times and proactively communicating with patients regarding their status during the visit.
  • Review and prepare charts in advance of the visit.
  • Communicate with the patient care team, which can include but is not limited to the therapists and early intervention staff to ensure that the patient experiences a seamless transition between hand-offs and to ensure all patient needs are met.
  • Monitoring waiting rooms and ensuring that waiting areas are kept organized, clean, and sanitary.
  • Perform other related duties as assigned.
Qualifications:
  • A minimum of 1 year of administrative experience in a medical office is a must 2 years preferred.
  • Experience with collection of patient responsibility and cost sharing.
  • Ability to verify insurance benefits and determine and patient cost sharing (copays, coinsurance).
  • Bi-lingual English/Spanish strongly preferred.
