General Purpose
Help with the day-to-day operation of both the front office as well as facilities to ensure the efficient running of DMU. Your responsibilities will include helping coordinate events on the campus, coordinating with other faculty to help manage and maintenance campus grounds, and aiding in general office tasks to ensure efficiency in both the office and facilities.
Main Job Tasks and Responsibilities
- Aid in office tasks to ensure they are finished quickly and efficiently.
- Complete work orders with an acute sense of detail.
- Coordinate with faculty and staff the finish assigned projects professionally.
- Help maintain office and facilities upkeep.
- Use all of Microsoft office to help day-to-day operations
- Expedite routine work order requests, and maintenance requests.
- Vigilantly monitor campus cameras for security violations.
- Greet and welcome guests and campus staff
- Receive mail and distribute it appropriately.
- Keep front desk area neat and presentable.
- Answer calls, and questions and redirect or help them as needed.
- Check, sort, and forward e-mails appropriately
- Greet and direct visitors and assist with wayfinding at University public entrance and in department as needed.
- This position works from a reception/front desk environment separate from the rest of the team.
- This role maintains campus access and security. If any questions on issuing a visitor ID badge, contact Supervisor or the Security Officer.
- Interact with students, employees, visitors and others that are nearby. Individuals at the public entrance serve a vital role in representing DMU’s core values.
- Answer phones and forward callers to appropriate staff; take messages or field/answer all routine and non-routine questions.
- Maintain records of all outside visitors that enter the campus.
- Maintain a clean and professional work environment.
- Monitor work requests, converting them into active work orders, and issuing work order assignments.
- Working to help create and provide consistent documentation for our WELL Building and LEEDS Certification.
- Document warranties within Asset Essentials.
- Update the parking registration database.
- Send out badge number updates.
- Enter preventative maintenance schedules into CMMS.
- Monitor shared mailboxes and respond to questions, as requested.
- Manage Facilities Management Pulse page and Facilities Management page and content on University’s website.
- Manage Facilities Management policies and procedures.
- Issue ID badges and parking permits in accordance to department policies and procedures to employees and students.
- Issue ID badges to contractors and department visitors in accordance to department policies and procedures to employees and students.
- Facilities Management front desk - Backup administrative staff as needed. Greet visitors and contractors and provide administrative support to Facilities Management staff.
Qualifications
Education and Experience
- Highschool diploma or equivalent
- Office or facilities experience preferred
- Relevant College degree preferred
- Proficiency with computers

- Excellent written and verbal communication skills.
- Excellent interpersonal and people skills. Professional appearance and behavior.
- Aptitude in organizing and managing multiple files, tasks, projects, schedules, and information simultaneously with strong attention to detail and accuracy.
- Good computer skills, skills in Outlook, Microsoft Office Suite (Word, PowerPoint, and Excel), and Adobe Acrobat required. Experience hosting/managing virtual meeting platforms such as Zoom and Microsoft Teams.
