You must also have 1 year medical front office experience and be committed to working at least 2-3 years with us. (Not getting a new job every year).

We are looking for a reliable Front Office Coordinator to run our Tustin location for a 30-40 hour per week commitment. You will act as the ‘face’ of our company and ensure visitors receive a heartwarming welcome, and schedule patients for their physical and occupational therapy visits in the evening. You will coordinate all front desk activities, including calls, appointments, and guests services.

As a Front Office Coordinator , you should combine a pleasant personality with a dynamic professional attitude to supervise and lead our team. Our ideal candidate can deal efficiently with complaints and has a solid customer service approach. Ultimately, you should be able to ensure our front desk provides professional and friendly service to our customers.

You will also run reports making sure therapists are completing notes, and plan of cares are active, and checking billing.

Responsibilities

  • Ensure front desk organized with new Evaluations
  • Train, supervise and support office staff
  • Ensure timely and accurate customer service
  • Handle complaints and specific customers requests
  • Troubleshoot emergencies
  • Follow up on authorizations from Workers comp, and Insurances
  • Schedule follow-up visits for patients
  • Able to communicate with insurance coordinator and patients when getting close to insurance limits
  • Able to communicate patient changes from the evening with insurance coordinator or clinic manager
  • Able to communicate bigger issues to manager, but handle smaller issue independently
  • Able to map insurance and communicate deductibles, copays, and caps to patients
  • Check with Urgent care for new patients
  • Coordinate number of visits remaining with patient and therapist
  • Track and call patients who have no appointments scheduled
  • Able to Call and troubleshoot repair to clinic, phone, internet, or plumbing issues
  • Communicate with WebPT when there are software issues
  • Ensure Evaluations are called for the next day and confirmed
  • Coordinate scheduling of transportation patients
  • Able to fax documents accurately
  • Track and follow-up on faxes which are delayed, not signed, or failed
  • Able to know and keep current the networks RTA is in network with
  • Keep all therapist credentialing and paperwork on file, and directing insurance coordinator on any needs
  • Keep password lists current and accurate with an electronic copy and paper copy
  • Able to track and plan when reAssessments are needed (POC expirations, and 10 visits or 30 days)
  • Schedule all patients out for 1 month
  • Up to date Waitlist of patients you can call when there are cancellations
  • Run reports on therapists note completion
  • Run reports on active plan of cares

Skills

  • At least 1-2 years work experience as a Front desk coordinator or Reception manager, preferably in the medical field.
  • Hands on experience with office machines (e.g. fax machines and printers)
  • Thorough knowledge of customer service
  • Proficiency in English (oral and written), Farsi or Spanish a plus
  • Solid knowledge of MS Office, particularly Excel and Word
  • Excellent communication and people skills
  • Good organizational and multitasking abilities
  • Problem-solving skills
  • High School diploma; additional certification is a plus
  • Korean speaking a plus

Job Type: Part-time

Pay: $19.00 - $21.00 per hour
