The Grandview Gardens GM is equal parts Property Manager and Hospitality Manager. This dynamic position will be accountable for the upkeep and condition of the facilities, as well as managing the guest experience from start to finish – this person brings our property to life!

Critical areas of focus will be:

  • Maintaining the facilities and grounds, ensuring the property is in good working order, is safe for our guests, and that it best represents the brand and organization. This includes personally conducting light repairs as needed, doing light landscaping, and coordinating 3rd party contractors as needed.
  • Managing all aspects of hospitality, ensuring nothing but excellence in every detail of the guest's experience. This includes oversight of the booking/reservation process, tending to the needs of in-house guests, and management of all staff or vendors who further contribute to the success of the operation.
  • Play an active role in strategic business decisions, regarding marketing initiatives, rate management, amenity and vendor partnerships, and Capex planning, while exercising excellent judgment in balancing the fiscal responsibilities of the organization.

Essential Job Functions

Property Management

  • Repairs and Maintenance – Address all maintenance issues in a timely manner. Take initiative to conduct light repairs internally and conduct thorough research when soliciting 3rd party contractor support. Guest rooms, the pool, the grounds, and all furniture and fixtures should be kept in good working order.
  • Security – Ensure property is kept secure, safe and implement strategic measures to safeguard the property.

Reservations

  • General - Responsible for all facets of the reservation process. As we are growing organization, we are also looking for a team player to help shape the policies and procedures required to effectively manage reservations.
  • Inquiries/Sales – Field all reservation inquiries, answering questions, and making best effort to close the sale within approved parameters.
  • Administration – Ensure each reservation complies with booking policies and procedures (signed agreements, accurate deposit and CC filings, update inventory on booking channels, etc)
  • Communication - Ensure clear cross-communication is had between the needs of the guests and all 3rd party vendors who may be supporting the guest’s customized experience.
  • Guest Billing – Responsible for accurately closing out all guest bills, refunding deposits, and promoting rebooking.
  • Rates – Provide valuable insights to ownership representatives and aid in determining best rates. The General Manager should have a good understanding of the local market and competition.
  • Guest Reviews – Make every effort to solicit positive reviews on our online platforms.
  • Planning – Work with primary guest to arrange all activities, transportation, and additional services as needed.

Hospitality and the Guest Experience

  • Employees and Vendors - Manage all employees and 3rd party vendors, such as housekeeping, chef, entertainment, and rentals providers, etc. Ensure all meet the brand and service standard objectives.
  • Experiences – Assist in the development of a menu of activities/services in the area, and identify the best local vendor to partner with. Manage all aspects of the vendor relations, such as billing and service standards.
  • In-House Guests – Lead as the primary point of contact for in-house guests, providing timely support and service.
  • Guest Records – Maintain organized records for previous clients, capturing itinerary information, preferences, and other valuable insights. Manage a follow-up plan to try to solicit rebookings.
  • Client Feedback and Reviews – Manage all online reviews and respond when appropriate. Address any concerns professionally and in the interest of salvaging the relationship as best possible. Address service issues with appropriate parties and ensure solutions to avoid repetition.
  • Inventory Management – Manage all operational inventory, mitigating theft, and ensuring the property has what it needs to run effectively (housekeeping supplies, toiletries, linens, etc.
  • Finances – Review and approve all expenses associated with the Grandview operation.

Marketing Initiatives

  • Social Media - Assist with generating content and managing all social media accounts.
  • Market Familiaritiy - Closely monitor booking trends for the area, as well as our comp set, providing strategic insights to the owners' reps to improve our market positioning.
  • OTA/Channel Oversight - Play an active role in managing the OTA's, ensuring all content is accurate, up to date, and competative.

Performance Expectations

Leadership and Initiative. This position is expected to lead by example. It is expected you will act with integrity, work as a team, and strive for excellence. We are also looking for initiative. Successful candidates will be capable of identifying problems facing the organization, along with presenting well considered solutions.

Conduct. Work must be thorough, accurate, and professional. Communication is critical, and it is expected this position will reach out for help/guidance whenever needed. This position also commands good judgement and an ability to conduct thorough research when searching for solutions.

Schedule Expectations. This position requires a minimum of 40hrs per week. These work hours are to be performed on the property between 8am and 4pm while the home is vacant, and during periods where individual rooms have been sold.

During property buyouts, the employee is to maintain the same schedule, but will work from home.

The schedule may be flexible based on the needs of the business. All hours are to be reported to the COO weekly via the provided timesheet.

Qualifications

A Must

  • +5yrs Hospitality management experience, preferably in a hotel environment
  • Highly proficient with Microsoft Office (Word, Excel, PowerPoint)
  • A quick learner of new software systems (PMS, POS, invoicing software, etc)
  • Embody a charismatic and positive attitude
  • Strong interpersonal skills
  • Excellent verbal and written abilities
  • Highly motivated and detail oriented
  • Ability to work a flexible schedule

Preferred

  • Experience with Property Management Software
  • Familiarities with OTA's
  • Front desk or concierge experience
  • Maintenance or property management background
