The Grants Manager of Research, Scholarship and Innovation is primarily responsible for managing post-award financial grant functions, the administration of grant accounts including budget oversight for expenditures, certification of invoices, reconciliation of receivables and ensuring compliance with external grant requirements. Responsible for the creation, analysis, and dissemination of financial reports consistent with Sponsor requirements and Institutional policy for both internal and external use. The position will work closely with the Director, ORSI, on pre-award budget development and pre-to-post pass off post-award. The position will work closely with Principal Investigators/Program Directors (PI/PDs) to effectively manage budgets, complete financial reporting requirements, create reports and meet to review progress. Responsible for planning and execution of annual CARS Celebration. Supervises a Graduate Assistant who helps with administrative tasks and CARS execution. This position works in partnership with the Controller’s office and Principal Investigators (PIs)/Program Directors (PDs). Working under the general direction of the Director of Research, Scholarship, and Innovation, the Grants Manager supports sponsored program administration and the Principal Investigators/Program Directors who are responsible for implementing the proposed research, programs, and projects.
Essential FunctionsPOST-AWARD MANAGEMENT: (65%)

  • Work w/ Director to ensure smooth pass-off from pre to post-award (including from Cayuse Sponsored Programs to Fund Manager)
  • Liase w/ finance post-award to open grant accounts w/ all necessary object codes
  • Input all necessary information into Cayuse Fund Manager
  • Monitor all grant expenditures and ensure that monies are charged correctly and that the general ledger accurately reflects grant activity.
  • Provide periodic reports of grant activity as required.
  • Provide assistance and problem-solving guidance to faculty and/or staff in resolving grant expenditure related issues.
  • Process all grant expenditure documentation for review and approval. Trouble shoot and reconcile corrections where needed.
  • Complete interim and final financial reports as required by sponsor.
  • Queue drawdown of funds for applicable awards.
  • Initiate and certify invoices.
  • Manage Time and Effort Certification
  • Manage quarterly allocations of grant funded salaries, fringe, and indirect costs
  • Work w/ Financial Aid to ensure accurate reporting of all grant funded scholarship/tuition dollars
  • Work with Controller’s Office to ensure required financial reporting is completed in a timely fashion.
  • Provide knowledge and expertise related to external grant requirements, including but not limited to: 2 CFR Chapter I and Chapter II, Parts 200, 215, 220, 225 and 230 (Uniform Guidance)

ADMINISTRATIVE DUTIES: (15%)

  • Handle data management, processing and record keeping for both internally and externally funded projects.
  • Lead PI/PD training post-award, including orientation on Cayuse Fund Manager
  • Working with the Director of ORSI, Controller’s Office, and individual PIs to develop and maintain an accurate documentation and file management system for funded projects (both internal and external) that include financial tracking and reported outcomes.
  • Provide coordination for and act as a resource/support to faculty on external grant opportunities and projects related to student research and the CARS Celebration. Maintain general office records related to sponsored programs, Faculty/Student research and CARS.
  • Manage and reconcile department budget.
  • Manage and reconcile Faculty and Student Research budget.
  • Meet with the Controller’s Office on a quarterly basis.
  • Primary contact in the absence of the Director, ORSI.

CARS CELEBRATION: (10%)

  • Develop and manage online application process for annual Creative Activity, Research and Scholarship (CARS) Celebration.
  • Single point contact for student participants, faculty sponsors, and both internal and external attendees.
  • Schedule and coordinate meetings of CARS Planning Group.
  • Coordinate event planning (catering, invitations, facilities, RSVP lists, etc.) including all aspects of the process for electronically communicating with all stakeholders.
  • Manage and update CARS website.
  • Manage and reconcile CARS budget.

SUPERVISORY RESPONSIBILITIES: (10%)

  • Supervision of Graduate Assistant: select, train, assign work, set/approve schedule and time records, handle related issues.

Required Education, Experience, Technology Applications and Skills

  • Bachelor’s degree, preferably in accounting or related field
  • 3-5 years related experience with budget execution and account reconciliation experience required
  • Ability to work comfortably in a fast-paced, deadline driven environment
  • Knowledge of federal and non-federal regulations and grant administration policies including 2 CFR Chapter I and Chapter II, Parts 200, 215, 220, 225 and 230 (Uniform Guidance)
  • Exceptional organizational skills and be able to attend to and prioritize projects.
  • Ability to successfully manage interpersonal working relationships. As appropriate, collaborate with staff in other units and divisions to achieve the goals of the College.
  • Strong written and verbal communication skills.
  • Handles confidential information sensitively and appropriately.

Preferred Education, Experience, Technology Applications and Skills

  • 5+ years experience with budget execution and account reconciliation experience in higher education
  • Experience working with grants or sponsored programs
  • Experience working with Colleague and Cayuse systems

Supervisory Responsibilities

  • Proficiency with MS Office, especially with MS Excel
