Summary

The Group Rooms Coordinator will manage group reservations and group rooms inventory as part of the event planning process.

Responsibilities

  • Ensures all group reservations and blocks are entered and maintained accurately.
  • Handles all contracted VIP and upgrade accommodations
  • Maintains relationship with Event Managers and clients up to arrival, for all matters pertaining to guest room usage
  • Tracks no-show and wash history, monitors group pickup, manages rooming list changes, and tracks the inventory for individual call-in groups.
  • Prepares and submits various reports, including the tracking/posting of group comps and rebate/commission calculations.
  • Prepares for and attends group resume and pickup meetings as well as pre-convention meetings.
  • Maintain and audit cut off dates and room inventory for all groups coming to the hotel.
  • Answer all questions from the reservation agents or assist with guests with group questions.
  • Report any group pick up concerns to the Reservations Manager and the Director of Revenue Management.
  • Monitor room type availability daily to ensure group blocks are balanced.
  • Has strong technical acumen and attention to detail related to routing, billing, and auditing.
  • Reservations duties and responsibilities outside of managing group room blocks will be expected. This includes answering calls in a timely and friendly manner, maintaining systems accuracy, working closely with sales managers for VIP and corporate reservations, providing guests with hotel and facility information, and more.

Qualifications

  • High School Diploma or equivalent
  • Proficient computer skills on Microsoft Office, Excel, and Word
  • Excellent and professional written and verbal communication skills
  • Highly detailed, and able to maintain excellent organizational skills – while working in a fast pace environment.
  • Ability to multi-task while working on up to 50-60 future groups.
  • Previous guest service experience preferred
  • Must have flexible schedule and able to work days, weekends, and holidays
  • Must be able to sit or stand for long periods of time
