HCC is looking for an Administrative Assistant to join our human resource department providing a variety of duties while effectively, efficiently, and professionally interacting with the team, staff members, and customers.

This person will play a vital role in keeping our human resource department staff, administrative duties, projects, and schedules on track. Our team is a tight knit group who loves to pitch in to help each other and strives to collaborate in all aspects of our work.

Job Responsibilities:
  • Assisting our human resource team through calendar and email management, scheduling appointments, and setting up internal and external meetings.
  • Assisting our Chief Human Resource Officer with projects, communications, and priority tasks.
  • Performing various administrative tasks from creating and managing employee files and making sure they are compliant.
  • Filing documents, assisting with travel arrangements, and generating reports.
  • Initiating communication with individuals both inside and outside the organization through emails, phone calls, and other forms of communication.
  • Perform a broad range of advanced administrative duties of a complex and confidential nature requiring independent judgment and the ability to solve problems proactively and effectively.
  • Coordination of meetings, creating PowerPoint presentations, and Excel spreadsheets for respective administrative projects/requests. Ability to modify documents just-in-time during meetings, including virtual/video calls a must.
  • Independently perform special projects that require a combined knowledge of administrative needs and general business operations.
  • Respond to a wide variety of requests for information, policies and procedures, and executive action.
  • Track internal and external contacts and maintain contact database.
  • Operate independently with minimal supervision.
  • Provide back-up administrative support to other departments as necessary.

Job Qualifications:
  • Possess a high school diploma or equivalent.
  • Minimum of two years office experience, 3 to 5 years preferred.
  • Knowledge of Microsoft office required. Proficiency with MS Word and Excel a must. PowerPoint knowledge a plus.
  • Excellent interpersonal and customer services skills with ability to interact professionally with staff, leadership, and community members.
  • Detail oriented and excellent time management skills. Work requires continual attention to detail in composing, typing, and proofing materials, establishing priorities and meeting deadlines.
  • Ability to multi-task and perform well under pressure.
  • Comfortable learning new software and working with various technology tools.
  • Ability to work independently on tasks and collaborate with a team.
  • Strong organizational skills for file keeping and administrative tasks.
