We are currently looking for a dynamic, highly energized, detail-oriented individual for the position of Human Resources Assistant to support the day-to-day operations of the Human Resources Department. The Human Resources Special Assistant will work under the general supervision of the Human Resources Administrator. The ideal candidate must have excellent verbal and written communication skills, as well as the ability to work well with all levels of staff and manage multiple projects and assignments simultaneously. Building rapport and maintaining key internal and external relationships is a vital part of this role. Maintaining a professional demeanor and a high level of confidentiality at all times is a must.

The position is classified at pay grade 115, with a starting salary of $50,636. Pay commensurate with experience.

TYPICAL TASKS

Create job postings, advertise open positions internally and externally, screen candidates, schedule interviews, and send interview confirmation emails.

Check hr@newcarrolltonmd.gov email daily, and respond to general requests.

Assemble pre-hire and new hire packets, conduct post-offer meetings, assist with New Hire Orientation and processes new hire paperwork.

Perform HRIS data entry and maintain personnel files.

Assist with administering all benefit plans, including enrollments, qualifying life events, and terminations. Processes required documents through payroll and insurance providers to ensure accurate record-keeping and proper deductions.

Respond to requests for verifications of employment.

Prepare Family Medical Leave packets upon request; track Family Medical Leaves and other Leaves of Absence.

Assist with managing and tracking workers' compensation claims; consults with claims adjusters and employees when necessary.

Maintain high standards of confidentiality of all employee records and information.

Monitor employee anniversary dates, send notification to department heads and supervisors to schedule monthly performance reviews.

Assist with conducting various internal audits.

Drafts memoranda, and other human resources related correspondence as needed.

Assist with organizing employee events including Open Enrollment Fair, Wellness Fair, Employee BBQ, Employee Holiday Party, and other personnel-related events.

Assist with Safety Meeting preparation and other related events.

Conduct research as needed on Compliance, Wellness, Benefits, Training, Performance, Employee Engagement, etc.

Work with department heads and supervisors to schedule employees for personnel training sessions.

Track employee birthdays and anniversaries; Circulate cards for employee birthdays, illness, bereavement, and births

Special Projects Assistant Duties

Assist with outreach marketing and community promotions.

Assist other departments with special projects, as needed.

Other administrative duties, as assigned.

Minimum Education and Experience Requirements:

Requires High School graduation or GED equivalent supplemented by specialized courses/training equivalent to completion of two years of college in human resources, business administration, public administration or a closely related field.

Requires a minimum of four years of administrative experience.

Physical Demands:

Performs sedentary work that involves walking or standing some of the time and involves sustained keyboard operations.
