SUMMARY STATEMENT & PURPOSE

The Intake Coordinator is primarily responsible for answering and appropriately managing incoming telephone calls; creating and updating patient registrations including verification of benefits and financial counseling; instigating the initial authorization request with appropriate insurance companies, setting certain expectations for patients regarding their services, and responding to customers' information needs. The Intake Coordinator is responsible for performing various administrative and clerical duties required to support these functions and, on an as-needed basis, may be required to perform other tasks. The Intake Coordinator also collaborates with the Business Office and Utilization Review departments on various admission related matters.

All employees are expected to be pleasant, respectful, and courteous in all interactions with patients, families, staff, and visitors of the Hospital, as well as being a positive representative of INBH at all times.


MINIMUM QUALIFICATIONS

  • At least three (3) years of related experience providing customer service in a medical setting.
  • Needs to have a general knowledge of patient accounting which includes billing and reimbursement requirements.
  • BLS, First Aid, Handle with Care and Verbal De-Escalation certification, provided by INBH.
  • Agency Affiliated License


PREFERRED QUALIFICATIONS

  • Five years working experience in a hospital, behavioral health, or medical setting.
  • Bachelor’s degree from an accredited college or university in social work, psychology, mental health, or a related field
  • A minimum of one (1) year experience in behavioral health utilization.


EMPLOYEE RATES AND BENEFIT

  • In addition to base hourly rate, employees receive shift differentials ranging from $1.00 to $5.00 per hour
  • One hundred sixty-eight hours paid time off per year to include 6 major holidays.

SPECIFIC PERFORMANCE RESPONSIBILITIES

All functions are essential functions unless otherwise noted.

The job functions of this position are not limited to the duties listed below.


  • Answer calls in Admissions Department.
  • Enter all inquiry calls into the MS4 call management system.
  • Enter all requests for services into the MS4 intake system.
  • Verify insurance and financial information while accurately entering the collected data into the MS4 system.
  • Initiate the preliminary authorization process with the appropriate insurance companies either by fax, phone, or specific payer portals for inpatient and IOP admissions.
  • Prepare admission packets for clinical staff.
  • Prepare the authorization packets for UR staff.
  • Discuss patient responsibility for payment and provide financial counseling as needed upon admission.
  • Coordinate the collection of all collateral information from referral sources to be used by the clinical team in determining appropriateness of admission request.

  • Ability to reach above and below the waist, turn, twist and manipulate small tools (copier, computer, telephone, calculator, safe, fax machine).
  • Ability to move frequently in the completion of job requirements.
  • Ability to handle a variety of repetitive tasks.
  • Ability to handle multiple projects and tasks under deadlines and with short notice.
