Job description
The Junior Program Specialist will provide critical support to ECA/P/A in the daily administration and reporting of global alumni programs and participants, especially as it relates to the Alumni Contact Engagement System (ACES) and Alumni Portal systems.
PERSONNEL REQUIREMENTS
The Junior Program Specialist performs a wide variety of duties necessary to assist in data management of international exchange alumni programming in coordination with ECA offices, regional bureaus, other bureau offices, implementing partners, and posts. They provide data analysis, records management, and research with regard to alumni participant records and data. They support the Database Manager and the Alumni Records Specialist for updating and editing alumni records. They confirm and prioritize project plans and deliverables as agreed upon by the ECA COR and office supervisor.
DUTIES AND RESPONSIBILITIES:
- Track, verify, and update prominent alumni records.
- Respond to inquiries about individual or thematic alumni records, and compile reports.
- Communicate with overseas and domestic users and provide customer support as needed.
- Upload bulk data templates into the Alumni database – Alumni Contact Engagement System or ACES.
- Merge duplicate records in the Alumni database Alumni Contact Engagement System or ACES.
- Track ACES programs, years, and POCs.
- Compare statistics from various sources and assist the ACES Database Manager with identifying data gaps and scheduling data requests.
- Assist the ACES Database Manager with a semiannual review of ACES user accounts.
- Update user accounts that have changed post of assignment or office.
- Participate in user training sessions and customer support.
- Respond to inquiries from alumni through the public inbox for the alumni.state.gov website (and the Alumni Portal which will replace it)
- Support the registration process for the Alumni website.
- Use databases to compile mailing lists.
- Carry out special projects and other duties as required.
SPECIAL KNOWLEDGE REQUIREMENTS:
The ideal candidates would have the following qualifications:
- A Bachelor’s Degree is required for this position.
- Ability to obtain and maintain a security clearance at the Secret level.
- Demonstrated skills or knowledge of global internet access and research capabilities.
- Facility with standard software, including the complete Microsoft Office Suite (Word, Excel, Access, PowerPoint, SharePoint), and an ability to learn and work with other software, and database applications. Salesforce experience is a plus.
- Strong, timely, and precise organizational skills and multi-tasking abilities.
- Strong critical thinking and analytical skills.
- Strong written and oral communication skills.
- Ability to interact with all nationalities in a culturally sensitive manner.
- Excellent ability to build and maintain strong working relationships with colleagues.
- Strong ability to work independently, with minimal supervision, and multi-task in a high volume, fast-pace work environment.
- Strong ability to have a flexible, team-oriented approach to work.
ADDITIONAL QUALIFYING FACTORS:
As a condition of employment, must pass a pre-employment drug screening, as well as have acceptable reference and background check results.
