Physicians provide a comprehensive range of primary and specialty care services at the 327-bed hospital and outpatient facilities both on and off of the Eskenazi Health downtown campus as well as at 10 Eskenazi Health Center sites located throughout Indianapolis.

Job Role Summary

The Manager Emergency Coding manages the Emergency Coding team, working alongside the Director. This position assists with training new team members and existing team members as they learn new job duties. This Manager is responsible for approving PTO requests for the Emergency Coding Team and works with the Director on improved workflows, policies and procedures, team goals, efficiency, and financial health. The Manager Emergency Coding has a clear understanding of coding and charging guidelines and rules related to Emergency Coding.

Essential Functions and Responsibilities


Proactively contributes to Eskenazi Health’s mission: Advocate, Care, Teach and Serve with particular emphasis on the vulnerable population of Marion County; models Eskenazi Health values

  • Assigns and monitors workflow as directed by management to ensure timely and accurate coding
  • Supervises employees and work assignments for Emergency Coding: Works with management to develop and maintain employee training assessments, department manuals/department handbook, and policy and procedure workflows; works with management for input on probationary and annual employee evaluations of all assigned personnel
  • Trains and instructs new team members and current team members as new policies or requirements arise
  • Works with management to enforce all assigned team disciplinary actions as needed per labor contracts, hospital and department policy/procedures
  • Coordinates the daily operations for all Emergency coding, works closely with other areas within Eskenazi Health to ensure compliant & optimal coding and charging for the Emergency department
  • Ensures productivity and quality standards, meeting with staff biweekly or as needed, and maintaining a file for all assigned personnel to ensure successful coding and charging of assigned accounts
  • Troubleshoots issues and anticipates potential problems, involving management for resolution
  • Participates in and makes recommendations during the interview/hiring process of new employees
  • Assists Director with any overall strategic plan, goals, or objectives for the department
  • Maintains ED coding workflow activities while exercising professional judgment and maintaining consistent Uncoded (ED) volumes within expected target limits
  • Completes HR/Payroll functions for employees. Ensures staff receive appropriate and timely feedback regarding their time and attendance records
  • Works with other departments to resolve identified concerns related to the ED medical record
  • Software Applications: keeps informed about upcoming upgrades and participates in planning, testing, and implementing software upgrades; identified systems include: EPIC, Allscripts Intelligent Coding (AIC), 3M 360
  • Notifies leadership of inappropriate or unethical coding practices identified or if there is uncertainty with the legibility of the record, questionable, or unclear documentation
  • Performance Improvement: Provides feedback with changes in regulatory and reimbursement documentation requirements as well as identifies opportunities for documentation improvement and education; assists HIM leadership with monitoring productivity standards and quality

Job Requirements

Associate’s or Bachelor’s degree in Healthcare Business Administration, Health Information Administration OR Registered Nurse with ED or Critical Care experience preferred with a coding credential from AHIMA or AAPC

  • Minimum of 5 years of related experience in a hospital/medical environment may be accepted in lieu of educational requirements
  • Two years of team leadership/supervisory experience required. Coding training experience can count for one year of leadership experience

Knowledge, Skills & Abilities

  • Possesses basic computer skills and the ability to learn new skills and software applications quickly
  • Ability to maintain a high level of concentration, self-motivation, attention to detail, and persistent follow-up
  • Knowledge and understanding of ICD-10 CM, CPT, and CMS transmittals and changes with coding, regulatory and reimbursement requirements
  • Knowledge of Local Coverage Determinations (LCDs), Correct Coding Initiative (CCI) edits, and the healthcare billing process
  • Knowledge of medical terminology, anatomy and physiology, diagnostic and therapeutic tests, surgical procedures, and medical record documentation standards and retrieval
  • Knowledge of E&M guidelines and assignments for emergency department facility coding
  • Ability to apply medical necessity coverage determinations as applicable and seek coverage in the medical record documentation
  • Knowledge of guidelines for observation status - hourly charges, active monitoring and carving out observation hour charges, admission and discharge requirements
  • Requires computer skills and the ability to learn new skills quickly
  • Ability to solve routine job-related issues and exercise sound judgment when requesting assistance from management
  • Ability to set and adjust priorities with multiple ongoing activities
  • Keeps current with changes to all coding guidelines, regulations, and reimbursement methodologies for Facility coding and charging Ensure compliance with coding regulations approved by cooperating parties (AHIMA, AAPC, CMS, AHA, AMA, and National Center for Health Statistics)
