Job Title: Meetings/ Events Coordinator (Cvent)
Pay Rate: $30 to 36.50/Hr
Duration: 8 Months
Location: Orange County, CA

Our Client is a Global Medical Device Manufacturer.

We are looking for a Meetings/ Events Coordinator with experience in Cvent.

  • Collaborate with internal stakeholders to optimize the effectiveness of the meetings technology platform.
  • This individual is responsible for effective configuration, administration, operation, maintenance, and support of the meetings technology, while also ensuring that appropriate system and data quality controls are in place to meet security policies and standards.
  • Determine and discern detailed event technology requirements on projects to establish the project deliverables and develop the project management plan, and manages changes to the project scope, schedule, and costs. Update project management plan. (e.g., implement Cvent to Concur (travel) integration, establish global brand standards for technology, creating on arrival registration technology to make systems seamless, and understand privacy laws)
  • Create and launch various program websites in Cvent based on stakeholder needs assessments, establish reporting cadence per program as needed, and provide guidance for best practices on tool management
  • Create and maintain various templates (e.g., registration websites, attendee management, budget, request forms, etc.). Partner with third-party vendors to troubleshoot issues and identify solutions based on our business needs.
  • Define, document, and facilitate user training; create and maintain training documents, manuals, and self-help tools (FAQs, checklists, on-demand training, etc.)
  • Develop communication on regular and newsworthy updates to meetings planners and user base. (e.g., updates, requirements of tool use, compliance related)
  • Monitor account workflow and settings. Maintain roles and visibility settings to ensure the security and integrity of data. Perform regular review and update of libraries and data/value lists (i.e. budget categories). Manage user license consumption and acquisition of additional users. Identify and assess the potential impacts of new software releases on the configuration and user community.

Skills:

  • Extensive knowledge and experience in building registration websites & database management. Assists Meeting Managers with planning and developing new methods to implement technology into programs.
  • Work with third-party planners as needed to insure usage and management of the Cvent platform and associated applications (APIs)
  • Ability to maintain day-to-day registration support for events that come through to the Meetings & Events team.
  • Strong business and/or technical analysis background, able to lead teams, without direct authority, and through complex requirements definition and analysis of business solutions
  • Ability to comprehend and diagram process flows and identify opportunities to streamline and improve efficiency
  • Extensive knowledge of own area within the organization while contributing to the development of new concepts, techniques, and standards
  • Proven expertise in Microsoft Office Suite, including Microsoft Excel, PowerPoint, Word
  • Experience using SharePoint preferred
  • Proven ability to develop and maintain influential and collaborative relationships at a variety of levels.
  • Ability to extract input from colleagues and stakeholders and achieve successful project outcomes through strong consensus-building and facilitation skills.
  • Excellent verbal and written communications skills, including the ability to document and translate business needs into events, contracts, and/or system requirements, process improvements, and policy changes.
  • Evidence of self-motivation and the ability to work both independently and with teams, with high personal standards representative of Edwards Lifesciences' commitment to excellence.
  • Excellent at data analysis and business process design.
  • Adhere to all EHS rules and requirements and take adequate control measures in preventing injuries to themselves and others as well as to the protection of the environment and prevention of pollution under their span of influence/control

Education and Experience:

  • Bachelor's Degree 5 years experience of meetings and events experience
  • Advanced experience working as a system administrator in meetings management technology tool, Cvent Required
  • Other: in Business administration or IT background experience in the Life Science and Pharmaceutical vertical Preferred

Job Types: Full-time, Contract

Salary: $30.00 - $36.00 per hour
