We’re currently seeking a talented, relentlessly resourceful Office Administrator. This is a key role at Over J and will help us ensure that all office administrative functions are coordinated to achieve a high level of productivity within the company. The Office Administrator will be housed in the Operations department, will report to the Director of Operations, and will work closely with the Operations Coordinator. The Office Administrator will be a full-time position and is expected to work in our Downtown Los Angeles Monday through Friday. The position is open until filled, but we are hoping to have our new Office Administrator in the saddle as soon as possible.
A DAY IN THE LIFE:
The Office Administrator is a fast-paced and highly collaborative and adaptive role and will have a variety of duties.
- Carrying out clerical duties such as answering phone calls, responding to emails, and preparing documents, including office correspondence, memos, resumes, and presentations.
- Coordinating and managing appointments, meetings, and the conference room schedule in order to prevent duplicate bookings.
- Performing bookkeeping tasks such as invoicing, monitoring accounts receivable, and budget tracking.
- Maintaining general office files, including project-related files, HR files, vendor files, and other files related to the company’s operations.
- Purchasing office supplies, equipment, and furniture.
- Company software management.
- Assisting with recruiting process from start preliminary review to onboarding.
- Overseeing the maintenance of office facilities, and equipment.
- Providing support to internal and external projects as needed, including event and outreach planning.
- Performing other relevant duties when needed.
SUPERPOWERS:
We are looking for a superstar in the field of Administration. You will be comfortable working in a fast-moving environment and working independently and closely with a team.
You must possess the ability to successfully work in a startup environment, which requires a fast pace, flexible thinking, ability to pivot based on changing business needs, willingness to embrace ambiguity and change, ability to manage competing priorities, keen collaboration skills, team-focus, and an unparalleled passion for the work.
- High school diploma required, associate or bachelor’s preferred.
- 2+ years working in an administrative support role in the Consulting or Engineering fields.
- Proficient with a variety of computer software applications including Microsoft Office Suite (Word, Excel, Outlook, Teams) with Monday.com, Canva, Ooma Office, and Popl being highly desirable.
- Multi-tasking and time-management skills, with the ability to prioritize tasks.
