Position Description
Reporting to the Sr. Director of Finance & Planning, the Operations and Development Associate is responsible for the day-to-day operations of the office. The position requires attention to detail, time management skills, appreciation of a fast-paced team, multi-tasking, and an enjoyment of creating and maintaining a pleasant work environment. The Operations and Development Associate will also work alongside the Director of Development 40% of the time in the management and execution of all development related activities, with a specific focus on day-to-day database management and acknowledgments, event support throughout the year, with a focus on the Volunteer Spirit Awards (VSA) in April and Giving Tuesday in the fall. The role requires strong communication and organizational skills, attention to detail, and a positive can-do attitude.
Operations and Finance Responsibilities
- Relationships: Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time.
- Finance: Complete the posting and maintenance of all accounts payable/receivable; assist with annual fiscal audit; maintain petty cash fund. Ensure compliance with all Volunteer New York! fiscal procedures.
- IT: Assess IT requests from staff and determine which requests need to be escalated and forwarded to our IT consultant to provide higher level support.
- Human Resources: Onboard new employees and in-house volunteers (including coordination of IT setup); support insurance and HR vendor relationships; assist in managing HR systems; maintain HR filing, including confidential materials.
- Programmatic Support:
Support the RSVP of Westchester program for volunteers 55 years and older, including program reports to funders. Support the Leadership Westchester program designed to sharpen effective leadership skills and provide participants with the clarity to define and achieve their personal and professional goals.
- Meetings and Calendars: Distribute materials to Board members prior to meetings; verify attendance; take and prepare minutes at the Board meeting.
- Project and Office: Purchase office supplies and equipment and maintain proper stock levels; ad hoc projects, tasks and reporting as required.
Development Responsibilities
- Support the Director of Development in all aspects of special events, with a focus on the Volunteer Spirit Awards in April, Giving Tuesday in the fall including pre- and post-event planning, entering and tracking donors in Salesforce database, creating thank you letters, etc.
- Support and attend VSA Steering Committee and Development Committee meetings.
- Gain proficiency in Salesforce database report writing.
- Manage day-to-day data donation entries into Salesforce database and corresponding donor acknowledgment letters.
- Research and implement new processes for database and event tracking efficiency.
- Communicate with corporate and individual donors in support of fundraising activities and to build positive relationships with funders.
Experiences and Competencies
Skill Set
- 2-year College degree preferred
- Very comfortable with technology
- Experience with QuickBooks or similar accounting system a plus
- Experience with Salesforce a plus
- Microsoft Excel – comfort level with basic functionality
- Excellent verbal and interpersonal communications skills
- Energetic professional who can multi-task and has a keen attention to detail
- Must have own transportation (valid driver’s license) and be able to lift/move up to 35 pounds
- Must be able to receive clearance through a background check
Schedule: Office hours are Monday – Friday 8:30am-4:30pm; occasional evening, early morning, or weekends, as needed. Monday through Thursday will be primarily on-site. Fridays can be remote.
Compensation: Annual compensation, $48-50K depending on experience. Compensation is paid on an hourly basis; excellent benefits and vacation package.
