POSITION SUMMARY

This is a frontline position providing customer service to telephone and walk-in students, prospective students, faculty, staff, and community members. Daily activities in addition to front-line customer service are office assistant functions such as updating staff databases, running PeopleSoft queries, typing/data entry, scanning, maintaining/ordering office supplies, mailings, preparing materials for advisory committee meetings, coordinating university/college visits, special events scheduling, and back-up for full-time administrative assistant staff.

Essential Functions Statement(s)


  • Provide quality customer service to all via telephone and in-person.
  • Communicate absences and class cancellations as necessary.

  • Clerical duties involving MS Office, queries, and general office assistant duties.
  • Maintain/order office supplies, order paper and toners for all department copiers.
  • Mail processing and delivery.

  • Maintain inventory of promotional materials, office supplies, historical records.

  • Assist part-time faculty, lock/unlock rooms, troubleshoot room schedule issues.
  • Assist with textbook request ordering for faculty.
  • Maintain the department’s general email account and communicate with external customers and internal customers accordingly.

SKILLS & ABILITIES

Education: Technical Diploma in Office Professional related field

Experience: Two years of clerical as well as receptionist experience; proven customer service skills

**An equivalent combination of education and work experience may be considered

Computer Skills:

Basic knowledge of Microsoft Office Suite, particularly Word and Excel. Ability to learn basic PeopleSoft database functions. Ability to operate computer, calculator, copier, scanner, multi-line telephone, etc.
