Internal Job Title: Patient Service Representative

Business Unit: PPC

Reports To: Practice Manager

Exemption Status: Non-Exempt

Shift: PT/Weekends, Fri – Sun


Scope of Responsibility: The Patient Services Representative will assist patients in obtaining services, understanding policies, and making health care decisions.


Job Summary
: Greets patients, organizes patient files, and moves patients through a pre-determined schedule of appointments at a physician's office.


Job Duties/Responsibilities:

  • Welcomes patients and visitors to the medical office by greeting patients and visitors in person and on the telephone and answering inquiries or referring questions to other staff members
  • Efficiently conducts check-in, check-out, and rescheduling procedures
  • Verifies insurance coverage
  • Collect copays and balances at time of appointment
  • Answers, triages, and appropriately routes incoming calls
  • Explains office policies, insurance coverage, and services available to patients
  • Schedules appointments for the physicians and physician assistant to optimize patient satisfaction, provider time and most effective use of examining and treatment rooms. Prepares a daily schedule of examinations for each provider
  • Accurately enters all patient demographic, billing, and insurance information in the Electronic Medical Record (AllScripts)
  • Receives, reviews, and distributes documentation to appropriate staff members in a timely manner
  • Reviews patient schedule for following day and verifies all necessary paperwork is on file. Follows up with patients for any missing documentation
  • Follows established protocols for opening and closing office
  • Performs other duties as assigned

Education Experience: HS Graduate or Equivalent

License/Certificate Required: No

Driver's License Required: Yes

Travel Requirements: >25%

Age Requirement: 18+

  • Knowledge of Medicare, Medicaid, and other insurances
