About the Department

The Pritzker School of Molecular Engineering (PME) was established in May 2019 and evolved from the Institute for Molecular Engineering, which was founded in 2011. The PME integrates science and engineering to address global challenges from the molecular level up. The PME’s rigorous academic and research programs are made possible through the University of Chicago’s unique partnership with Argonne National Laboratory. The Pritzker School of Molecular Engineering is the first new school at the University of Chicago in three decades and the first school in the nation dedicated to molecular engineering. In the next phase of growth as a School, the PME will continue to expand its team of world-class faculty researchers and empower students from diverse backgrounds to collaborate with faculty in cutting-edge facilities. The PME aims to bring solutions for urgent societal problems to the forefront, while training the next generation of scientific leaders and entrepreneurs. The Chicago Quantum Exchange (CQE) is an intellectual hub for advancing the science and engineering of quantum information between the CQE community, across the Midwest, and around the globe. A catalyst for research activity across its member and partner institutions, the CQE is based at the University of Chicago’s Pritzker School of Molecular Engineering and is anchored by the U.S. Department of Energy’s Argonne National Laboratory and Fermi National Accelerator Laboratory, the University of Illinois Urbana-Champaign, the University of Wisconsin-Madison, and Northwestern University.

Job Summary

As Program Administrator, you will be responsible for the day-to-day operational needs of the Chicago Quantum Exchange (CQE) education, workforce development, and outreach programs. This role will serve as a knowledge resource and ensure the CQE education programs and events run smoothly. The Program Administrator is responsible for overall coordination of CQE student events and programs supporting both the Director of Education and Workforce Development and the Associate Director of Education, Curriculum and Partnerships. This role will assist with special projects, student recruiting activities, the development of metrics and SOPs as instructed by the Director and Associate Director. CQE collaborates with many other research areas and this position is typically the initial point of contact.
Responsibilities
  • Manages special projects, functions, events, symposiums, and seminars relating to education and workforce development, including updating and/or enhancing formats to attract students and junior researchers. Leads planning, scheduling, and outreach, including: facility reservations and configurations, travel arrangements, audio/visual needs, building access, etc.
  • Serves as the main point of contact and corresponds with CQE and University planning partners, speakers, attendees, vendors, and other stakeholders. Coordinates communication to a variety of stakeholders including the PME community, other departments within the CQE and University, program participants, and external vendors.
  • Collaborates with team members to coordinate and supervise daily operations of the CQE and partner quantum initiatives, with a focus on education and workforce development programs.
  • Implements established programs for the CQE and partnering with quantum grants and organizations.
  • Coordinates programs and grants, including the Open Quantum Initiative Undergraduate Fellowship.
  • Facilitates, drafts and ensures dissemination of quantum education and workforce development event communication and announcements across the CQE and PME through listervs, other emails, flyers, websites, and videoboards.
  • Independently supports the administrative planning and running of virtual and in-person events, including new courses and career development events.
  • Creates and disseminates reports, memos, proposals, and evaluations as needed.
  • Uses moderate/solid understanding and experience to administer the delivery of services to program participants and/or beneficiaries.
  • Has moderate/high levels of interactions with faculty, researchers and staff for committee work or information.
  • Performs other related work as needed.

Minimum Qualifications

Education:
Minimum requirements include a college or university degree in related field.

Work Experience:
Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline.

Preferred Qualifications
Experience:
  • Project management experience in a fast-paced, large non-profit or public or private sector organization supporting an executive-level individual or team.
  • Experience working in higher education or an academic research environment, especially in the STEM fields, grant and contract coordination, project coordination, and/or evaluation.
Technical Skills or Knowledge:
  • Strong computer skills including word processing, database management, and spreadsheet skills.
  • Project Management.
  • Proficiency with Microsoft Office Suite.

  • Excellent oral and written communication skills.
