GENERAL STATEMENT OF DUTIES
SUPERVISION EXERCISED
Coordination Of Marion County Health and Human Services Locations
Coordinates custodial services for all residential locations, including ordinary cleanings, quarterly cleanings, and on-call cleanings.- Works with custodial contractor manager to ensure all employee-occupied, leased buildings are sanitary.
- Works with landlords to ensure all residential buildings are sanitary.
- Review and make recommendations for changes of leases for non-County owned facilities.
- Works with all landlords for commercial locations to address maintenance, safety, security and custodial issues.
- Works with contracts and payables team to ensure needed contractors and suppliers are properly procured and contracted with.
- Monitors contractor and supplier performance and communicates with contracts team and management.
- Works with all levels of County Facilities to ensure owned and leased residential locations are properly maintained.
- Assists in inspecting repairs and following up on resolution.
- Uses independent judgment and discretion.
- Inspects repairs, follows up through resolution.
- Champions issues that have an organizational impact.
- Serves as backup for duties related to commercial locations.
- Plans, prepares and communicates with landlords, contractors, and community partners; concerning our facilities, safety and security needs.
- Serves as liaison between programs and Marion County Facilities, Marion County Information Technology.
- Serves as liaison between programs and external vendors, for repairs, remodels, or other projects.
- Analyzes facilities needs and recommends remodels to management.
- Develops project plans, building diagrams, communication plans, punch lists, budgets, GANTT charts, status updates, after action reports, and scope management.
- Reviews projects to identify scope and required resources; identifies objectives and deliverables; selects and utilizes project management tools and techniques to accomplish goals.
- During project execution, provides leadership to County IT and Facilities staff, as well as contractors.
- Oversees facilities projects; facilitates agreement with project participants regarding assignments and ensures completion of work within agreed upon time lines.
- Identifies potential risks and challenges and makes recommendations to mitigate them.
- Make purchases with Pcard and process Pcard reports.
- Analyzes furniture needs, develops plans, diagrams and budgets, presents recommendations, purchases.
- Creates and designs office layouts.
- Coordinates annual safety & security inspections of all residential and commercial locations.
- Analyzes safety and security needs and makes recommendations to management.
- Helps ensure the safety and security of our employees and individuals we serve.
- Supports and facilitates the Department's mission to create a safe and welcoming community.

- Schedule meetings, prepare agenda, annually update committee charter, SC member manual, MCHHS Emergency Plan, and policies".
- Ensure inspections are done in a timely manner.
- Ensure accident reporting, documenting, and investigating is done in a timely manner.
- Ensure floor monitors are trained and supplied.
- Ensure Safety committee members are trained.
- Ensure documentation of safety suggestions.
- Ensure safety drills are done in a timely manner.
- Stays up to date on facilities, safety and security regulations and policies
- Makes recommendations to improve policies and procedures
- Ensures regulations and policies are followed by communicating with staff via email, phone and in person
- Purchase furniture, small office equipment, and sit/stands; coordinate delivery and installation.
- Purchases household furniture, appliances, and other items as needed for residential locations. Arranges for move/installation of furniture & appliances.
- Plans and coordinates employee moves. Enters IT tickets, work orders, and coordinates with external vendors as needed.
- Inspects furniture installations, building projects, and remodels; develops punch list, and follows up on resolution of punch list
- Assists HLT-Facilities team members with other furniture projects as needed
- Installs cubicle walls, desks, chairs, ergo keyboard trays, sit/stand keyboard trays, whiteboards, etc.
- Plans and coordinates projects related to residential locations.
- Uses initiative, skill, and ingenuity to organize work and solve problems.
- Uses Microsoft (MS) Teams, MS Teams, MS Visio, MS Excel, MS Project, and other programs to track projects.
- Assists with or serves as backup for duties related to commercial buildings.
Response Level 1: In the event of an emergency, employee makes a reasonable effort to report to work. Employee may be required to perform duties outside of their regularly assigned duties. Employee may be requested to work an extended or flexible schedule. Due to regular assignment, employee may be assigned a leadership role in the provision of essential services or responses functions. Staff at this response level must complete Incident Command 100, 700, 200, and 800 on-line or in-person training.
- Associate degree in public or business administration or a closely related field; AND
- Two years of responsible experience in program coordination, planning, development and evaluation; OR
- Any satisfactory combination of work, education, training, or experience relevant to the position, as determined by Marion County.
SPECIAL REQUIREMENTS
- The finalist for this position will be required to pass a criminal history background check; however, conviction of a crime may not necessarily disqualify an individual for this position.
- Must possess a current driver's license in the applicant's state of residence and an acceptable driving history. Marion County will obtain a copy of the driving record for all qualified applicants from Driver and Motor Vehicle Services and review the driving record according to the Marion County policy and procedure for Driving on County Business. - This is a safety sensitive/special needs position. Final candidates selected for this position will be required to pass a pre-employment drug screen, including testing for marijuana. - This is a full-time position, which is eligible for overtime.
- Typical Schedule: Monday - Friday, 8:00 am - 5:00 pm, with flexibility depending upon the needs of the
