Job Summary:
JAVI A/V LLC is a nationwide audio video integrator company seeking an experienced AV Project Manager. In this role, you will oversee, manage, schedule and coordinate all deliverables on the Nationwide AV installation projects assigned. You will work with upper management, other departments for support and external stakeholders to ensure the scope and direction of each project is on schedule, completed within budget and to the satisfaction of the client.
JAVI Project Management:
- Must be able to manage 60 to 100 New restaurant opening projects per year.
- Collaborate with engineering and sales to ensure final equipment list and audiovisual drawings are accurate and approved by client.
- Create the initial Scope of Work (SOW) for the project. Strong writing skills are a must.
- Responsible to negotiate labor costs and ensure installation contracts are negotiated with technicians.
- Maintain and update Scope of Work and install packet documentation after each installation.
- Ensure that the Standard operating procedures (SOP’s) are followed and check off lists are completed for all projects. Ensure those are filed accordingly, for each project. Send all install related documentation to technicians (i.e.: Contracts, work orders, SOW, AV drawings, installation documents and equipment lists). Retrieve from technicians' product that is left over, images of completed projects and check off lists and file those in cloud-based software.
- Work to Create necessary Standard Operating Procedures (SOP’s) that are lacking and that should be part of Project management.
- Maintain contact with site supervisor and/or customer site contact through the milestone of construction to establish timeline for technician installation through the different phases of construction. Participate in Construction calls. Must be able to be professional and polite to our clients, who are VP and Directors. Must keep technicians updated constantly.
- Generate purchase requisitions and provide oversight of the procurement of items and the timeline of ordering and delivery of equipment for each project to site or technician.
- Ensure that the equipment tracking updates are distributed to the necessary stakeholders (ie: techs, customer or internal stakeholders) and confirm receipt of inventory required for the project by technicians/client locations. Must emphasize that keeping technicians and customers always updated is key in this role.
- Ensure to confirm we obtain necessary site requirements such as (Lifts, certificates of insurance, Permits) and ensure that those are obtained in a timely manner so as not to cause project delays and that records are kept for each project.
- Communicate all important issues to management/sales so they can address with client directly, if necessary, before a client contacts JAVI management.
- Ensure the time and resources are managed correctly by our technicians when racks or other equipment (where all electronic components are stored) are being built by our Subs or team or when they must procure product. Ensure technicians are not later adding additional expenses and expecting to be reimbursed without proper notification and receiving approval from client and JAVI.
- Gather and provide information to sales for any required project change orders during installation and manage the efforts to deploy the change request after customer has signed and agreed to costs.
- Identify with the technician any roadblocks/issues onsite and collaborate with Engineering and field operations for solutions.
- Provide progress updates to all stakeholders (internal and external) throughout the project.
- Facilitate the information required for returned merchandise authorizations to Project and Service Departments. Ensure all left over product is returned to JAVI inventory. Work closely with warehouse team.
- Manage the oversight of any service issues related to installation for 60 days after installation is completed.
- Coordinate meetings with internal teams after installations to review improvement to scope, (ex: List and AV drawing to prepare for next site installation for customer).
- Managing site surveys for existing locations that are either upgrading or remodeling:
- Create site Survey scope of work.
- Coordinate with the customer, colleagues and management, the time schedule for the project.
- Review and approve invoices/cross check to agreements signed, from technicians (oversight of president and/or VP).
- Review and approve technician quotes and store bids to justify choice. Ensure technicians are up to date on COI's and agreements. Notify if there are no technicians within one hour radius of project so new partners may be identified.
- Develop master project schedules that are to be followed by project management, define work breakdowns and processes-this is part of the SOP’s.
- Identify and propose new internal processes to increase efficiency in work and document it.
- Implement and oversee multiple QA processes to ensure that everything is done efficiently and correctly and create a standardized workflow of Project Management
- Ensure that JAVI obtains feedback from the client and field and share it with management at the end of each project.
- Prepare list of requirements and ensure those are checked off and presented to avoid lack of preparedness and delays. Be sure to make notes of all discussions/meetings and file all required items.
- Begin the development and creation of cost analysis documents to compare allocated budget to true costs.
- Perform review/assessment of project deliverables, assess project risks and evaluate the effectiveness of mitigation strategies.
- Prepare templates for teams to use and present project summaries and status
- Develop, maintain and ensure the team executes on project
- Ensure that each job has a client sign off document and it is signed and filed.
- Ensure we have created or create project documents to ensure an effective project management process, status reports and agendas for topics involving. Assess we have all that is needed by client.
- Provide weekly update at Project meeting to entire JAVI team.
- Work to ensure that a service plan is created and offered by subcontractors.
- Ensuring that office support identifies new subcontractors to add to our data base of national partners.
Qualifications:
- Strong, polite and professional written and verbal communication skills. Will be required to be forthcoming on any issues that can impact a project. Requirement when working with management and clients. Critical thinking and problem solving is a must and must have ability to think ahead and be extremely organized and transparent in how work is performed.
- Excellent decision-making and leadership capabilities
- Contract negotiation abilities a must (5 years minimum)
- Conflict resolution experience required along with ability to resolve issues that arise.
- Adaptability to changing scenarios a must
- Ability to quickly gather information, diagnose issues and enter detailed notes in the case management system.
- Must be able to troubleshoot by phone any AV issues that could arise in new installation projects that are remote and problem solve for technicians. Must be able to manage projects, even when not physically on the job by receiving detailed pictures and extremely frequent updates.
- Ability to effectively engage customers, technicians, general contractors and other trades by phone and email daily.
- Excellent time management skills with the ability to manage multiple tasks and priorities simultaneously with attention to detail. Multi-tasking is a must.
- Self-motivated and the ability to work independently as well as with a team
- Minimum of 5 years’ experience in project management.
- Knowledge and experience in audio video industry preferred
- PMP Certification is preferred
- Advanced skills in Microsoft office (Word, Excel and PowerPoint)
- Experience with web-based CRM systems and cloud-based programs (Salesforce, Conga, box. etc).
- Ability to speak in front of clients if necessary and prepare project presentations
- Ability to provide consistent updates to management via reports.
- Must be able to travel within the United States to oversee projects and meet with technicians and clients, when necessary.
- Must be able to place an order for POD's, program cameras and music players and trouble shoot when issues arise.
- Must be able to site set-up and commission laptops and iPads
- Must be able to send out agreements to clients.
- Must be able to work till the work is completed and type professional detailed emails.
Job Type: Full-time
Pay: $65,000.00 - $90,000.00 per year
