JOB SUMMARY

The Purchasing Agent is responsible for the timely and cost-effective analysis and processing of material, supply, equipment, and service procurement as requested by the clinical and non-clinical departments. Incumbent will perform these job duties in accordance with and in support of mission, vision, and values of NCH and the Supply Chain department.

ESSENTIAL DUTIES AND RESPONSIBILITIES – Other duties may be assigned.

• Proactively enable a smooth and uninterrupted flow of stock and non-stock supplies, including management of back orders or other interruptions of service or supplies, by working daily with those responsible for each stocking location. Maintain accurate audit trails and detailed records of transactions.
• Initiate and participate in the implementation of cost savings programs. Ensure product standardization on all commonly used items.
• Provide a resource for standardization of products and requests for new products by obtaining comparative detailed quotes and creating spreadsheets for analysis.
• Demonstrate strong analytical skills of both written and numerical data. Demonstrate sound decision-making skills by analyzing competitive quotes for capital equipment requisitions. Complete capital checklist for review by the

Resource Allocation Committee.

• Works closely with Value Analysis and assigned cost center representatives on product acquisition.
• Partner with accounts payable staff to monitor and resolve invoice discrepancies by resolving them within the current accounting period.
• Provide courteous and timely phone and email coverage and respond to requests with a sense of urgency. Expedite solutions involving critical equipment, repairs, and service, as well as routine repairs and replacement of damaged items and equipment by monitoring order status.
• Detail oriented in verifying overall costs and specifications. Demonstrate strong negotiating skills by obtaining the best vendor, the best service, and the best pricing and terms for all products and equipment within the scope of those departments and vendors assigned to the purchasing agent.
• Proactively monitor and challenge all GPO and other contracted items, as well as all non-contracted items, to take maximum advantage of rebates, tier levels, and incentives
• Maintain confidentiality with respect to NCH pricing.
• Monitor GPO contract updates and vendor price change notices.
• Collaborate with the MMIS Coordinator appropriate updates vendor and item file information in a timely manner.

EDUCATION, EXPERIENCE AND QUALIFICATIONS

• Minimum of High School Diploma or GED required, Associates Degree or higher preferred.
• Minimum of 3 years of experience in supply chain or procurement role in a healthcare organization or role OR minimum of 5 years’ experience in direct purchasing or contracting role in a non-healthcare organization or role.
• Strong written communication skills, exhibiting clarity and resolution. Consistent and persistent follow-through with respect to information gathering and issue resolution.
• Exhibit excellent interpersonal communication and customer service skills.
• Intermediate computer knowledge: Uses Microsoft Office suite along with various proprietary industry software.
