Title of Job: Receptionist/Legal Assistant
Position Description:
The Receptionist is the face and voice of the firm for potential clients and existing clients and as such is responsible for greeting clients (in person or on the phone) in a pleasant and professional manner. This is a great opportunity for a motiviated indiviual who is interested in pursing a career in the legal field. This is a full-time, non-exempt position.
Primary Objectives:
The Receptionist facilitates the transition of potential clients from initial phone conversations to intake. The receptionist is also responsible greeting clients and others who come to the office and maintaining the front office area in a professional manner. Other duties that can be completed from the reception desk are outlined below.
Major Areas of Responsibility:
Major areas of responsibility include:
- Initial client intake via telephone to gather name, address, phone number(s), email addresses, how the client heard about our firm and the specific practice area they are calling in regards to;
- Greeting clients and others who visit office
- Weekly entering of postage expenses in Prolaw
- Time Entry for of Counsel attorney in Prolaw
- Check text software (Zip Whip), faxes and voicemail, several times each day
- Enter Fedex Transactions in Prolaw
- Enter mileage transactions in Prolaw
- Enter Pacer and Westlaw Research transactions into Prolaw
- Coordinate Conference Room Scheduling for upstairs conference rooms
- Process incoming mail
- Miscellaneous other duties
- Maintenance and restocking of client coffee station
- Assisting with entering new leads into the Reception Form in Lead Docket and Adding to Prolaw
- Mailing out intake packets to prospective clients as time permits.
Specific Responsibilities of the Job:
- Initial client intake via telephone
- Greeting clients and others who visit office
- Weekly entering of postage expense in Prolaw
- Weekly entering of federal express expenses in Prolaw
- Enter Pacer/Westlaw research transactions in Prolaw
- Enter mileage expenses into Prolaw
- Time entry for of Counsel attorney each pay period
- Check text software (Zip Whip), faxes and voicemail several times each day
- Coordinate Upstairs Conference Room Scheduling
- Maintenance and cleanup of conference rooms
- Check conference rooms after attorney/client meetings to make sure they are clean and ready for additional meetings (removing any documents or trashed that may have been left from a previous meeting).
Required Knowledge, Skills, and Abilities:
The person in this position should be friendly, approachable and have a positive demeanor. It is also a plus if the person has some level of administrative experience.

Education and Experience:
Education: An Associates or Bachelor's degree perferred.
Experience: Some general office administrative experience is helpful to the success of this position but not required
Physical Demands:
While performing the responsibilities of the job, the employee is required to sit for extended period of time, hold professional conversations with potential clients, clients and service providers on the phone or in person, work on a computer (typing and viewing documents), and lift files or boxes of files.
Individual in this position should have clear driving record and transportation as they may need to make deliveries to court or other places if runners are not available.

The work environment is open and fast paced.
