The Research Assistant will support co-directors (Wyatt and Ozburn) of the OHSU Fellowship for Diversity in Research in all aspects of its function. Responsibilities will include, but are not limited to: scheduling and coordination of meetings and program events; triaging correspondence; assist in hiring processes and on-boarding of new program participants; registration and travel arrangements for conferences and events; processing required documentation, payments, and reimbursements, tracking expenditures; collecting data and survey responses; preparing manuscripts using citation software; assisting with grant preparation (document tracking, submission, limited budget assistance, editing); generating logs and statistics related to research and administration activities; finalizing presentations; maintaining records; keeping materials organized.
The Research Assistant will also aid in the organization and implementation of outreach initiatives to underrepresented and underserved communities in Portland including assisting with recruitment activities (scheduling, creating materials, marketing), internal and external communication (aid in content creation and consistent delivery of email newsletters, websites, and social media accounts). Applicants should have a strong interest and familiarity in working with diverse cultures and multicultural programming, as well as have the ability to initiate and maintain professional relationships with diverse groups, on and off-campus.
Function/Duties of Position:
- Scheduling; meeting and event coordination; registration and travel arrangements for conferences and events; assist in hiring processes and on-boarding of new program participants; triaging calls, emails and other correspondence
- Assist in the implementation of diversity and inclusion initiatives for the campus community; assist in the organization and implementation of outreach/recruitment events to underrepresented and underserved communities in Portland (scheduling, creating materials, marketing); content creation and consistent delivery of communications via email newsletters, websites, and social media accounts.
- Collecting data and survey responses
- Preparing manuscripts using citation software; assisting with grant preparation (document tracking, submission, limited budget assistance, editing); finalizing presentations.
- Processing required documentation, payments, and reimbursements; tracking expenditures
- Maintaining records; keeping materials, books, and papers organized
Education:
- Bachelor's in any field; OR
- Associate's AND 2 years of relevant experience; OR
- 3 years of relevant experience; OR
- Equivalent combination of training and experience
Competencies:
- Strong interest and familiarity working with diverse cultures and multicultural programming; ability to initiate and maintain professional relationships with diverse groups, on and off-campus, including building rapport and working proactively with members of university staff and faculty.
- Capable of working both independently and as part of a high energy, results-oriented team. Must possess the ability to work rapidly and accurately while tracking many details.
- Strong skills in oral, email, and written communication as well as punctuality, dependability, and a high degree of personal and professional organization. Other qualifications include: attention to detail, flexibility, adaptability, mastery of internet search and the Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
- Creativity and the desire to continue learning are highly desired.
- Must be able to perform the essential functions of the position with or without accommodation
Experience: 1-3 years in a similar administrative role
Additional Details:
Working Conditions: This is a remote position with very little in-person work (when necessary). Mon to Friday 8-5; Occasional evenings and weekends may be required for special events.
