The Department of Psychiatry and Behavioral Sciences (PBSCI) within the UW School of Medicine is the third largest clinical department with 285 full-time faculty members, 280 clinical faculty members, and over 300 staff. Department faculty provide clinical services in 5 hospitals, 14 primary care locations, and several outpatient sites in addition to telepsychiatry consultations to more than 150 clinics in Washington and beyond. As the only academic psychiatry department serving the five state WWAMI region (Washington, Wyoming, Alaska, Montana, Idaho), the Department’s highly competitive residency training program is largely responsible for developing the mental health workforce in the Pacific Northwest. The Department’s robust research portfolio totals $35 million in grants and contracts per year for projects ranging from clinical neurosciences to treatment development to health policy and population health. The Department is recognized as an international leader in developing, testing, and implementing Collaborative Care, an integrated care model increasingly seen as a solution for population-based mental health care. Other areas of excellence include Addictions, Autism, High Risk Youth, Neurosciences, and Trauma, and the Department is developing innovative new programs in Technology and Mental Health, Global Mental Health, Maternal and Child Mental Health, and Targeted Intervention Development.

The Department of Psychiatry and Behavioral Sciences is recruiting for a full time Research Coordinator.

Position Purpose:
This permanent, full time Research Coordinator position, under the general direction of the Principal Investigator and Lab/Center Manager, will support the design, implementation, and operations of research studies involving human subjects focused on conducting mental health research and evaluation in the CREATIV Lab, and ALACRITY Center. This position will support studies that focus on Spanish speaking populations; therefore, the individual in this position must be bilingual in Spanish and English.

The candidate will provide professional-level support for the Lab and Center, including overall coordination of cross-disciplinary research projects (approx. 60%), optimization of data collection, preparation, and dissemination (approx. 30%), and supporting general Center and Lab options (approx. 10%). The candidate will work under the general direction of the Center/Lab Manager, with collaboration with multiple faculty, investigators, and staff internal and external to UW.

Position Complexities:
This position must be able to work independently on multiple research projects without benefit of written policies or procedures. This position requires frequent interaction with community organizations and institutions, physicians, mental health clinicians, other health care personnel, research subjects and vendors with many of these interactions taking place in Spanish. This position will conduct clinical assessments (in Spanish and English) to determine eligibility for clinical studies. Multiple projects may be in progress simultaneously, with the expectation of additional projects in the future.

DUTIES AND RESPONSIBILITIES
Clinical Trials Management (50%)
Drawing on a solid experiential foundation in research principles and experience in the conduct of clinical research trials involving human subjects, the research coordinator will:
  • Independently implement and design procedures, protocols, designs, methods, tools, materials, etc. for multiple concurrent clinical research trials in accordance with FDA and Internal Review Board regulations and Good Clinical Practices
  • Identify problems, propose solutions and implement those solutions following consultation with the PI.
  • Oversee and implement subject recruitment, tracking, and administration of psychological assessments, data collection and intervention activities including quality assurance monitoring, human subjects (IRB) review/approval.
  • Train and oversee research staff to ensure ongoing compliance with all rules and regulations regarding the conduct of research.
  • Manages the maintenance of research study and regulatory files to ensure audit readiness and that the files are maintained and stored in a manner and for a timeframe that meets regulatory requirements.
  • Employing best practices, designs and manages the development and maintenance of study database tracking, subject recruitment, milestones, appointments, and assessments.

    Research Operations Management (30%)
  • Develops “on the fly” reports and sets timelines for and oversees periodic status reports to PI and other key personnel including progress toward project timelines, milestones, deliverables and any obstacles to achieving them.
  • Serve as liaison between the UW project team, research project partners at UW, BMIC, Cornell University, UCSF, Talkspace, Charles River Analytics, and Akili, community partners such as UW School of Social Work, Talkspace, senior housing developments, and Sound Generations and funders including Akili, UHC and NIHM, for the purpose of recruitment, coordination, and data sharing and reporting.

    Research Study Design and Reporting (20%)
  • Develop research and recruitment designs and protocols targeting individuals 45 years and over suffering from depression with sensitivity to subject’s ability to travel to appointments and to use technology.
  • Develops data collection methods, and strategies for data management.
  • In collaboration with others, writes research grant proposals, including independently writing sections as assigned by the PI.
  • Analyze, report and interpret study data to draw inferences, report findings, analyze study progress, etc. in diverse settings/formats, including posters, presentations and publications.

    Lead Responsibilities:
  • Create procedures and protocols to ensure completion of data collection activities, logistics, and implementation of study protocols.
  • Implement research protocols and monitor participant adherence to protocols; take action to correct problems such as deviation from protocol requirements; verify accuracy of research data.
  • Assist in designing, developing, and refining research protocols and proposals, including reviewing proposals to determine research methods best suited to study objectives.

    MINIMUM REQUIREMENTS
  • Bachelor's degree in Psychology, Social Work, Public Health.
  • Two years of experience as a Research Study Coordinator or equivalent experience, or Bachelor’s degree in psychology, social work, public health, sociology, epidemiology, or related field, and/or relevant experience.

    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

    ADDITIONAL REQUIREMENTS
  • Ability to conduct all position responsibilities in Spanish and English
  • Knowledge of and experience implementing user centered design methods for engagement of community participants into research, data sharing, and data access
  • Experience creating and reviewing human subjects/institutional review board applications and consent forms.
  • Proficiency with software applications including REDCap, MS Access, Excel, Word, and PowerPoint.
  • Prior experience following established data collection procedures or research methods.
  • Experience and/or aptitude in participant/client tracking and follow-up.
  • Ability to work on multiple projects at one time.
  • Demonstrated attention to detail, creative problem-solving skills and strong attention to detail.
  • Excellent interpersonal and skills.
  • Ability to communicate effectively, orally and in writing, and to interact positively with a wide variety of people.
  • Must be comfortable talking with a diverse population about sensitive topics such as depression and difficult life circumstances.
  • Ability to prioritize work appropriately and to work effectively both as a team member and independently with minimal supervision.
  • Ability to produce quality work in a timely manner.
  • Excellent organizational skills and great attention to detail.
  • Excellent oral and written communication skills.

    DESIRED QUALIFICATIONS
  • Experience working on complex and interdisciplinary teams and settings.
  • Experience working with public or representing an organization to other organizations.
  • Experience completing telephone and/or in-person interviews, screenings and assessments.
  • Knowledge of database systems, data management and relational database programming.
  • HIPAA, Human Subjects and Good Clinical Practices training.
  • Strong interest in working in the health care field.

  • May require some travel around Washington state and other US states, and/or work off-site or during evenings and weekends.
