Philander Smith College Scheduler/Recordkeeper
SUMMARY of POSITION: This position will report to the Clinical Director of the Elders Community Health Clinic and be responsible for the following:
Function as a patient resource for all scheduling questions
Facilitates scheduling coordination and conflicts
Making and managing appointments for clients Orchestrating access to the Nurse Practitioner and other professional staff
Keeping records/files to be shared with the billing specialist
REQUIRED QUALIFICATIONS: High school, GED, or formal educational equivalent. Three years’ experience in registration, billing, or scheduling preferably in a healthcare environment. Excellence customer service skills. Knowledge in basic medical terminology required.
RESPONSIBILITIES:
Schedules, reschedules, and coordinates appointments using the clinic systems by performing visit notifications of patients.
Requests outside records and gathers outside medical records from referrals and files patient charts.
Conducts pre-registration as needed, inputs and/or updates accurate patient information.
Create new patient charts, access systems for orders as appropriate,
Issues school/work excuses, sends out no show letters, takes patient photos.
Responsible for blocking schedules as appropriate, cancel and reschedule appointments as requested
Deals with conflicts in a positive and professional manner using careful listening and negotiation skills to resolve disagreements.
Maintains strict confidentiality when necessary.
Consistently utilizes communication devices and keeps accurate records as required.
Assists internal and external stakeholders as needed with exceptional customer service.
Other duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES: Demonstrates positive working relationships with co-workers, management team, and ancillary departments.
Excellent written and oral communication skills.
Interacts with and assists the public in a professional and friendly manner.
Generation of various reports related to appointments, cancellations, etc.
Knowledge and practical experience of using computers and scheduling software
