Responsibilities and Core Functions:

The Senior Administrative Assistant will provide high-level administrative support to the Director of Accreditation and Educational Opportunities. The Senior Administrative Assistant serves as the liaison between the Director, senior leadership management team, and employees. The essential job functions include but not limited to preparing, scheduling, and managing internal and external events and meetings, overseeing confidential information and compiling data reports, and standing as the primary point of contact for the Director.

Specific Authorities and Duties:
  • Provides continuous assistance to the Director in overseeing operation, administration, and performance of day-to-day operations for the school.
  • Acting as a trusted point of contact of information between the Director and President’s office, students, faculty, staff, visitors, and stakeholders.
  • Serving as liaison to coordinate inter-and-intra-school administrative functions and meetings, as well as coordinating with school administration and employees, the community and community partners.
  • Planning and coordinating special activities and projects, including representing school at internal and external (community) meetings, as requested.
  • Oversee Director’s calendar and schedule of activities. Schedule and organize activities such as meetings, travel and itineraries, conferences and department and organization-wide activities.
  • Establishes, develops, maintains, and updates an efficient filing system, and organizes and prioritizes large volumes of information.
  • Oversees incoming and outgoing mail, and provides draft written responses, as appropriate.
  • Works independently and within a team on special projects as well as routine projects; acts as a project manager with duties that may include planning and coordinating presentations, disseminating information, coordinating special meetings, mailings, and meal planning.
  • Types and designs general correspondence, memos, charts, graphs, tables etc.; proofreads copy for spelling, grammar, and layout, making appropriate changes; responsible for accuracy and clarity of final product with a high level of detail.
  • Other duties as assigned by supervisor.


Knowledge and Experience
:
  • Must be independent and a proactive self- starter with a strong commitment to delivering high quality work.
  • Ability to multi-task, manage time, prioritize, and work under deadlines.
  • Strong interpersonal, verbal, and written communication skills.
  • Customer service and team oriented with the ability to interact with a diverse population.
  • Excellent computer skills including proficiency in Microsoft Office applications.


Education, Certification, Training and License:
  • High School Diploma or related GED, required
  • Business focused diploma or degree in business management, required; or comparable education qualifications with five (5) or more years of significant office experience.
