System / Admin Support
Responsibilities and Duties
- Data input into payment systems for materials orders (subscriptions, books, serials, supplies, etc.)
- Assisting with administrative tasks on customer budgets, customer finance reports and working with Corporate Finance
- Clerical database manipulation related to statistics, reporting, usage, monthly Reports
- Order fulfillment verification and fulfillment tracking, Packaging and Delivery of Ordered goods for all customers
- Coordinating schedules and meetings/ Making arrangements for visitors
- Ensuring the availability/replenishment of office supply inventory
- Assist in collection of data for report writing
- Assisting with Website Support and Overall team IT issues working closely with Corporate IT
- Ensures the functionality of website resources through various software tools - especially EZ Proxy.
- Correspondence with library web site users on routine and administrative tasks
- Administrative tasks for customer-facing library website usage
- Collate and distribute mail
- Create and maintain filing systems, both electronic and physical
- Manage accounts and perform bookkeeping
- Data entry (sales figures, property listings etc.)
- Assists with administrative tasks on customer budgets and spending.
- Order fulfillment verification and fulfillment tracking.
- Financial charges verification and tracking.
- Ensures the availability and replenishment of office supply inventory.
- Assists in scheduled and impromptu collection/collating of data for report writing.
- Administrative tasks for customer-facing library web site usage.
- Clerical database manipulation and data input related to statistics, reporting, usage, budgeting.
- Performs other tasks as assigned to meet clerical and other administrative and processing needs.
Requirements:
- Must be a US citizen
- Proficient in English
- Familiarity with Foreign Language(s) is a plus
- Maintain diplomatic and professional relations with coworkers and others
- Demonstrate proficiency with office production software (Word, Excel)
- Advanced knowledge of Excel formulas (Such as VLOOKUP) a plus
- Come to understand FileMaker
- Knowledge with Adobe and creation and manipulation of .pdf documents
- Willingness to grow IT knowledge and understanding as it pertains to the ITSC’s function and Support Process
- Familiarity with HTML, CSS, and JavaScript or willingness to learn/obtain
- Familiarity with VMWare and Linux or willingness to learn/obtain
- Ensuring the functionality of website resources through various software tools - especially EZ Proxy
