Primary Responsibilities: Under the direction of the Director of Volunteers, this position provides administrative and technical support for the Volunteer Programs Department. This shall include direct interaction with volunteers and staff, maintaining database information, and creating reports as directed and/or needed. Learns how to run the laser engraver and teaches other personnel how to run it. (Training provided)
Primary Duties:
1. Maintains hard copy & computerized filing & record-keeping systems relating to volunteer activities.
2. Coordinates with the CMMS supervisor to maintain up-to-date records.
3. Initiates contact with military commands to coordinate appropriate types and number of volunteers needed by the Missouri.
4. Records and updates military and civilian contacts for future reference.
5. Assists in keeping contact with other departments on ship to know their volunteer needs.
6. Maintains accurate & timely records for volunteer hours, applications, liability release forms & departmental assignments and SDS forms.
7. Prepares volunteer material for e-mail & mail-outs to volunteer groups & handle inquiries about the project & volunteer opportunities.
8. Forwards website updates to webmaster regarding volunteer projects & work assignments.
9. Conducts briefings for volunteers concerning rules, safety and work assignments.
10. Assists in the preparation of a monthly newsletter highlighting volunteer news, inspirational stories, calendar of events, Volunteer of the Month, etc.
11. Assists in the coordination of Road Scholar & community service volunteers by maintaining correspondence by direct contact, letter, phone calls & e-mail.
12. Receives calls, answers questions, or directs callers to appropriate personnel.
13. Works directly with special needs volunteers to provide them with an understanding of a work environment.
14. Learns how to run the laser engraver to make plaques and other items for the ship and volunteer department.
15. Performs other related duties as required or assigned by the Director of Volunteers.
Education, Experience and Skill requirements: High school diploma or general education degree (GED); or three to six months related experience and/or training; or equivalent combination of education and experience. Must be proficient in the use of Microsoft Word, Excel, and preferably Access and Power point presentations.
Language Skills: Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Interpersonal Communication Skills: Must be a clear and effective speaker, have an outgoing and positive personality and enjoy working with the public.
Certificate, licenses or registrations: Must possess a valid driver's license.
Working Conditions: Works indoors/outdoors and on/off the ship.
Schedule: 40 hours per week. Schedule is dependent on the needs of the ship or coordinator.
Physical Requirements: 3/4 of the time is spent working on a PC or laser engraver, position must be able to focus and view information displayed on a keyboard and monitor or in a compartment with laser smoke. Position is utilizing a PC/laser engraver, talking on the phone, thumbing through papers, typing, inputting information into the system, and majority of the time and must be able to use arms, hands, and fingers to effectively complete these tasks. Position may be required to lift and move boxes containing literature and/or office supplies; the weight would be less than 10 pounds and no more than 25 pounds. Position must be able to safely judge distances and depths to safely move around the battleship, office equipment and furniture. Position must be able to climb up and down ladders to access ship and must be able to maneuver doors to access various spaces on the ship and on the pier. 3/4 of the time is spent in the office and in the laser engraving room on the pier and ship, 1/4 of the time is spent outside on the pier, and on the ship.
