Program and Position Description

Our Northern Light Eastern Maine Medical Center Work Study program offers students a varied experience in exploring the administrative side of healthcare providing them with diverse “on the job” training necessary to become leaders, managers and professionals in roles that are focused on hospitality, human resources, community outreach, quality improvement, communications, research, business administration, materials management, and more.
Successful student candidates for the Work Study program at EMMC are interested in taking future leadership roles in the complex areas of health care service delivery and healthcare management, population health, or healthcare as a business. These students learn the important social, cultural, and demographic factors that impact the structure of our healthcare system.
Students will be placed in a variety of pathways depending on their career interests and the needs of the Medical Center.
Work Study students will also have the opportunity to receive mentorship from one of our healthcare leaders, along with interactive experiences for 1:1 career shadows with healthcare leaders serving in various roles.
Broad scope Objectives:
Employment in our Work Study Program enables students to:
- Observe the complex structure of the healthcare system
- Examine the inherent tensions and difficulty in providing healthcare that is high quality, easily accessible, and at reasonable cost.
- Build knowledge of how social issues, cultural context, and population demographics influence healthcare policy and the structure of healthcare delivery systems.
- Demonstrate knowledge of the principles and practices of good healthcare management and leadership.
- Apply principles of evidence-based practice, quantitative reasoning and objective measurement in the development and implementation of healthcare delivery systems.
- Acquire skills that allow for successful entry into graduate programs or related professions.
Specific Duties & Departments (not limited to) :
Human Resources
- Participate and support HR audits
- Employee file management
- Archiving of employee files
- Participate with the Medical Center employee recognition programs
- Assist with onboarding of new employees including reviewing and processing I-9
- Database management
- Help prepare Word, PowerPoint, and Excel documents
- Respond to staff inquiries regarding HR policies, employee benefits, and other HR-related matters.
- Track progress, priorities, and deadlines of various projects
Volunteer and Community Outreach
- Provide administrative support to volunteer recruitment and onboarding processes, annual recognition, and student volunteer program
- Perform general communication and outreach functions
- Support Community Volunteer Impact Team projects and implementation of processes and programs to help achieve the goals in Northern Light Eastern Maine’s Community Health Strategy
- Manage front desk and provide customer service to volunteers and visitors upon entry
- Complete miscellaneous data management functions in the volunteer database
Patient Experience
- Assist in growing new and emerging programs within the hospital such as utilizing technology for bedside visitation, concierge style support and service recovery programs.
- Actively interface with and assist patients through the various Patient Experience programs, while proposing future evolutions of these to enable long-term success.
- Serve as part of our Welcome Team: greet arriving patients and their visitors’ taking temperatures, asking if they have specific symptoms of illness and when appropriate, providing them with a mask. When interfacing with visitors, you will communicate current visitation policies and utilize the daily patient census for visitation policy exceptions. Students work closely with patient care staff to navigate extenuating circumstances and calmly assist frustrated individuals whiling holding to the highest standards of patient privacy.
- Provide direct and indirect patient support throughout departments as requested. I.e. stocking materials, providing basic housekeeping services, delivering patient enrichment by reading/talking/doing activities with patients
Other departments and projects that Work Study Students may help support are:
- Environmental Services
- Materials Management
- Nursing Administration
- Food and Nutrition Services-ie providing hospitality support by delivery patient trays, helping with food prep or managing the register
- Spiritual Care
- Medical Education
- Medical group practices (patience service reps, etc)
Requirements
- Enrolled in undergraduate program at University of Maine- Orono
- Work Study eligible
- Some experience in an office environment preferred
- Experience with Microsoft Office Suite
- Strong interpersonal, communication and customer service skills
- Ability to work in a fast-paced, team-oriented environment
- Solid organizational skills and attention to detail
- Problem solving capabilities necessary to accomplish the duties and tasks of the position
- Ability to correctly make decisions involving client issues/ problems including when to escalate the problem
- Ability to effectively learn and acquire new knowledge and skills.
· Ability to share knowledge and work in a strong team-oriented environment.
