What You Will Do:

Reporting to the Dean, the Administrative Assistant III for the College of Psychology and Behavioral Sciences (CPBS) will be responsible for working with colleagues to schedule and staff courses in accordance with College and University policies; collect, analyze and maintain data that supports college programs; organize and support college and partner events, coordinate external relations, and support the faculty and instructional activities of the College. This individual serves as primary administrative support for the Illinois Master’s of Science Counseling Program.

Tasks include but are not limited to supporting program faculty with CACREP documentation; course scheduling and staffing; collection and record keeping for MOU’s with training partners; new student application/interview process; communications to clinical training partner sites, current students and alums; manage programmatic Tevera content; etc. This individual must handle and maintain confidential information and decisions on a daily basis with discretion and confidentiality.
Essential Responsibilities:
  • Designs and recommends to the Dean/Assistant Dean term-based (cohortbased) course schedules that optimize use of College assets and meet student needs;
  • Organizes and supports college and partner events;
  • Works with Registrar’s Office and bookstore to ensure that book orders are submitted in a timely fashion and books are received by students in a timely fashion;
  • Assigns course instructors to designated CPBS and Graduate field programs. Supports and assists full-time faculty and adjunct instructors;
  • Tracks completion of new adjunct instructor requirements (e.g., HR paperwork, assignment of email account, orientation session, assigned mentor, Web-CT training);
  • Attends faculty-related meetings as requested (faculty development, assessment/new hire), recording/transcribing meeting minutes;
  • Sends course-related reminders (CPBS database queries) to course instructors. Based on approved checklist, tracks course syllabi to ensure inclusion of requirements. Track in CPSA Database, save syllabi on CPBS shared drive;
  • Assists with completion of instructor evaluation process;
  • Coordinate external relationships. Supports CPBS Advisory Boards. Completes special projects as directed by supervisor:
  • Coordinates with online program directors in auditing courses in the online learning platform to ensure accuracy and readiness;
  • Provides Dean/Assistant Dean with ad hoc reports as requested;
  • As part of a team, promptly and appropriately answers questions, refers inquiries and directs visitors
Qualifications:
  • High school diploma or GED plus at least 5 years of experience directly related to the duties and responsibilities specified; or bachelor’s degree
  • 3+ years of Office/administrative experience
  • Experience working in college or university setting preferred, but not required.
  • Effective communication (written, oral, listening) skills; analytical skills to include descriptive and inferential statistic
  • High Proficiency with Microsoft Suite (i.e. Word, Excel, PowerPoint and Access)
