Position Summary:
The Associate Specialist is responsible for providing high-level administrative support to the Global Health Program. This is an administrative career position that will be responsible for activities such as: supporting committees and workgroups, developing organizational tools and systems, taking meeting minutes, coordinating with internal staff, members and partners on travel logistics, administration of contracts and payments, and other special projects as assigned. This position requires flexibility. The incumbent must possess the ability to anticipate needs, think critically and be readily available to rapidly respond to problems. The candidate should be able to offer solutions to administrative problems with a high level of professionalism and accuracy. This is a domestic position with no anticipated international travel.
Duties & Responsibilities:
- Completes a broad variety of administrative tasks that facilitate the Global Health Program’s ability to effectively operate, including assisting with special projects; designing and producing documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements.
- Independently manages the logistical details for virtual meetings using scheduling tools to select dates/times, setting-up bridge lines, notifying the participants of meeting details, sending out the agendas and taking meeting minutes.
- Supports program conferences, meetings and training projects by:
- Notifying participants of conferences and meetings and providing agendas and other logistical information to participants,
- Researching hotels to ensure they meet APHL needs; this includes initiating and coordinating ratification of contracts with hotels, ordering food/beverages and ensuring onsite facilities/AV meet APHL needs,
- Providing on-site support for conferences and meetings when requested, either in the Silver Spring office or at other venues,
- Assisting in production and distribution of conference handouts, folders, marketing materials, and proceedings,
- Coordinating the travel reimbursement process, including communicating with travelers, tracking payments, and submitting paperwork to supervisor or designee and accounting.
- Identifies strategic needs and oversees development and implementation of process improvements for the Global Health Program.
- Coordinates with program staff to develop organizational tools and processes to improve work efficiency.
- Organizes and maintains electronic files in an accessible location, in order to complete work in a systematic and timely fashion.
- Responds to requests for materials and information about program activities in writing, by phone and email. Provides members and partners with appropriate information regarding program activities.
- Tracks program expenditure for designated accounts and maintains records of receipts.
- In collaboration with the program staff, develop contracts and manages administrative processes to ensure compliance with APHL policies, completion of deliverables and timely payment processing.
- Assists in ensuring payments are correctly coded and compiled with appropriate backup documentation for accounting processing.
- Supports the management of the web content for the Global Health Program, ensuring that all content on the website is current and accurate.
- Creates content for APHL Blog, Lab Matters and social media platforms.
- Assists in the development of facts sheets and other communications materials to promote global public health.
- Participates in meetings to increase the visibility of member laboratories and promote their role in global public health.
- Other duties as assigned.
- Bachelor’s degree or equivalent education. Educational background in administrative field preferred.
- 2-4 years progressive and relevant experience in an office/ administrative position.
- Interest in science, preparedness and/or the public health preferred.
- Proficiency in English required; competency in language other than English is an advantage.
