Planned Parenthood of Orange and San Bernardino Counties has a full-time opportunity for a Community Education & Outreach Administrative Assistant in Anaheim, CA.

Responsible for administrative duties that support the programs, financials, and data collection efforts of the Community Education & Outreach Department. They will help support education presentations and programs, scheduling for events, promoting events through mailing lists and community sites, handling registration for events, and providing technical assistance as necessary. The Community Education & Outreach Administrative Assistant will coordinate data collection, order program and office supplies, track inventory of equipment for the department, and process all financial transactions including invoices and payments.

Minimum Education:
  • College degree or equivalent relevant work experience required.
Minimum Work Experience:
  • Minimum 1 year of experience in an administrative support position preferred.
  • Excellent organizational and time management skills.
  • Must be able to handle and prioritize varied tasks simultaneously.
  • Accuracy and attention to detail is essential.
  • Strong PC skills (Word, PowerPoint, Outlook, Internet, Canva, Google Forms)
  • Proficient in Excel and creating engaging reports.
  • Knowledge of and interest in sexual and reproductive health care and rights.
  • Ability to apply commonsense and understanding to carry out detailed written and oral instructions.
  • Professional demeanor at all times.

  • This position requires travel to other sites and locations; if using a personal vehicle to meet this requirement, a valid CA driver’s license and current auto insurance in compliance with the minimum requirements of CA vehicle code are required.

Responsibilities:
Essential Functions: Essential functions encompass the required tasks, duties and responsibilities performed as part of the job and the reason the job exists.
  • Support educational presentations and programs by assisting with scheduling events on desired platforms, promoting events through mailing lists and community sites, handling registration for events, and providing technical assistance as needed.
  • Coordinate data collection tools such as sign-in sheets and surveys and update as needed.
  • Reconcile all sign-in sheets and surveys on a monthly basis and maintain the electronic files of participants for outreach and education events.
  • Schedule meetings, prepare agendas, and take notes at all department meetings.
  • Assists staff with updates to lesson plans, power point presentations, and preparation of activities and resources for presentations or community events.
  • Order program and office supplies and assist with tracking inventory of equipment.
  • Responsible for administrative support for the Community Education & Outreach department, such as assisting with community meetings, tracking education, reconciling monthly financial transactions, and other tasks as needed.
  • Process all financial transactions including invoices and payments related to CEOD activities.
  • Responsible for monthly reconciliation of credit card and expense reports. Maintains accurate and organized financial files for the department.
  • Maintain an updated mailing list of community contacts, and assist in creating communications that will be sent via large volume email blasts to promote programs and events. Monitor and respond to inquires as appropriate.
  • Create engaging monthly, quarterly, and annual reports to share status on department deliverables, and other information as requested.
