Responsibilities:
The Sales Coordinator is responsible for coordination of daily tasks and duties for the Sales team. This person will take initiative on projects, tasks and other items to ensure all department members have the necessary tools and equipment to be efficient in their daily work processes.

  • Performs telephone duties which require answering telephones, messages, forwarding calls to appropriate person, assisting caller in resolving questions.
  • Maintains office supplies.
  • Takes notes at weekly staff meeting and distributes accordingly.
  • Distributes daily reports.
  • Submits expenses reports for various personnel as requested.
  • Performs any other job-related duties as assigned.
  • Handles Sales clients’ needs and requests. Ensures that all arrangements are handled properly, coordinating with other departments through oral and written instruction.
  • Assists coordinating site visit arrangements.
  • Qualifies and distributes group sales leads to sales managers.
  • Assists Sales team with administrative duties, Delphi lead data entry, charging and tracking group deposits and filing.
  • Handles entering rooming lists, generating pick up reports, monitors reservation due dates and room pick up.
  • Coordinates file turnover process. Makes copies of room contracts, group resumes and rooming lists, BEO’s, daily reports and client evaluation forms and other items as required; distributes to the appropriate departments.
  • Reviews Sales contracts to ensure accuracy of rates and dates information.

Qualifications:
  • Any combination of education and experience equivalent to graduation from a college or university, or any other combination of education, training or experience applicable to position.
  • Minimum of 2 years of previous administrative or coordinator experience within a fast-paced environment.
  • Previous hotel industry and/or guest service experience strongly preferred.
  • Strong verbal and written communication skills.
  • Must be highly organized, with strong attention to details and ability to multi-task.
  • Fluency in English is required; bilingual/multi-lingual is preferred.
  • Excellent Microsoft Office skills to include Word, Excel, PowerPoint.
  • Experience with sales management system i.e. Delphi, SalesPro, SalesForce.
  • Ability to effectively deal with internal and external customers and staff, some of whom will require high levels of patience, tact, and diplomacy.
  • Willingness to work evenings, weekends, and holidays as needed.
