Position Summary
The Director of Enrollment Services is an exempt position that is administrative in nature, works under administrative direction, reports to the Dean of Enrollment Management, and is a member of the Student Central Leadership Team. The Director performs highly complex work related to the administration of Enrollment Services programs, and operates as an expert in this field. The Director operates at an expert level based on experience, training and education and is the administrator independently responsible for mission critical business processes and technology in the operational areas in enrollment services including admissions, records, registration and residency. The Director performs highly complex work with authority related to compliance to state, federal, and campus policies and regulations and the administration of enrollment services programs and Student Central services. The Director is budget authority for the enrollment services budgets and supervises the Associate Director of Enrollment Services and designated program lead staff for admissions, registration and records.
Pay, Benefits & Work Schedule
Annual salary range starts at : $90,000 .
Annual salary will be commensurate with candidate's qualifications and related experience.

About the Department
The Enrollment Services Office is one of four departments that make up Student Central. Student Central is a single service area for departments identified as Enrollment Services, Evaluations and Graduation, Placement and Testing Services, and Financial Aid. The Enrollment Services Office houses the following programs, and has campus-wide responsibility related to these areas: Records and Grades, Washington State Residency, Admission to the College, and all Registration processes. These programs are distinct in areas related to Washington State law, regulations and reporting requirements.
Essential Functions
Operations
Act as the deputy registrar and provide oversight and management of registrar office services and functions.
Serve as point of contact for Campus Solutions (CS) in the ctcLink/PeopleSoft Student Information System, training and troubleshooting. Manage access and operations of Qless system and Student Central ticketing system.
Provide expertise to identify and promote the use of technology-based solutions for future and current needs and initiatives.
Make recommendations for technology-based solutions, and implement this technology when adopted by the campus.
Manage and maintain the online self-service functions used by students.
Manage course roster and grading processes.
Produce data reports and analysis related to student enrollment and admissions, manage job scheduling, and report distribution.
Ensure Student Central is compliant with FERPA requirements, and report issues or concerns to the Dean.
Supervision
Establish an expectation that all employees use a direct transformational service model when working with students and other visitors within Student Central, and the Enrollment Services Office, in person, on the phone, or via email.
Build an effective team that is results driven and characterized by collaboration and cooperation.
Supervise designated full-time staff, and the Associate Director. Select and hire staff, make recommendations for disciplinary action, approve/deny leave requests, evaluate employee performance on a yearly basis, resolve grievances in consultation with HR, establish office expectations, and take corrective action.
In collaboration with the Student Central Leadership Team, participate in the development of staff meetings and training, and periodically chair the staff group meetings.
Compliance
Read and interpret federal and state regulations as they relate to Enrollment Services and Financial Aid application processes, registration and residency rules, and reporting requirements. Use this information to counsel students and staff based on specific circumstances.
Notify campus administration of regulatory changes that will or may affect campus policy and processes, develop and suggest courses of action, and implement changes to ensure continued compliance.
Attend yearly national or regional conference related to Admission and Registrar operations, and quarterly Financial Aid, and Admission & Registrar Council meetings to keep information current, and ensure campus compliance with regulations and system changes.
Evaluate student-required processes and implement changes needed to increase efficiency, or to ensure compliance with regulations and other standards.
Evaluate staff processes and procedures and implement changes needed to increase efficiency, or to ensure compliance with regulations.
Oversee and contribute to the creation of internal standard operating procedure documentation.
Campus participation and leadership
Serve on campus committees as needed to ensure consideration of the needs of the Student Central when changes on campus, or in systems occur, improve the use of technology, and to provide expert advice regarding system changes that may affect the work of Student Central.
Serve as a member of Student Affairs Cabinet.
Serve as a member of the Student Central Leadership Team.
Serve as a member of the data coordination committee.
Serve as ctcLink campus solutions pillar co-lead.
Serve in leadership roles within state, regional and national professional organizations (ARC, PACRAO, AACRAO).
Training
Provide training on Enrollment Services processes and rules as requested by division or campus departments.
Provide information on use and functions of the ctcLink Campus Solutions module for Student Central, Student Affairs division and campus a whole. Have a working knowledge of the legacy student information system (HP-SMS) for historical needs and conversion of student records.
Train staff to focus on the student experience and to take a holistic approach when working with students and other visitors.
Provide feedback, instruction, and encouragement to staff to enable continuous improvement and to promote optimum job performance.
In collaboration with the Associate Director, organize and provide training as needed to employees and other division staff associated with Student Central and Enrollment Services functions.
Perform other duties as assigned.
Minimum Qualifications
Bachelor's degree. Relevant years of experience can be substituted on a year-for-year basis.
Three (3) years demonstrated experience in administering enrollment services programs in a higher education setting.
Five (5) years demonstrated experience supervision of full-time staff.
Demonstrated experience and proficiency using student information systems.
Demonstrated ability to analyze, develop and implement improvements in business processes that benefit students and staff.
Demonstrated experience working in a collaborative team environment with diverse employees and student/customer groups
Effective written, verbal, interpersonal, and communication skills
Demonstrated ability to perform highly complex work related to the administration of Enrollment Services programs.
Preferred Qualifications
Master's Degree in student affairs, student development, educational leadership or other related area.
Three (3) years demonstrated experience in administering enrollment services programs in the Washington State Community and Technical College system.
