Come join our team with this excellent opportunity in our New York City office in TriBeCa as an Executive Administrative Assistant supporting senior leaders at Equitable Advisors. As an Executive Assistant supporting a team in New York within Equitable Advisors, you will gain exposure across a wide variety of business activities while showcasing your positive, confident, and proactive approach, and exceptional time management skills.
You will be responsible primarily for calendar management, administrative paperwork for various financial products, financial planning data input, administrative compliance requirements and serve as a liaison between the advisors and their support staff in the back office. You will eventually collaborate with other Executive Assistants and Advisors across the team and take an active role to support their success. You will also get the opportunity to work on various ad-hoc projects, including the coordination of Client Appreciation Events.
To be successful in this role, you will need to be highly confidential with information and exercise appropriate judgment/discretion, demonstrate a proactive approach, be extremely organized, flexible and have excellent attention to detail. In addition, you will need strong project management skills with the ability to handle multiple tasks simultaneously, self-direction, a strong sense of ownership, excellent written and verbal communication skills and advanced knowledge of Microsoft Word, PowerPoint, Outlook, and Excel. Financial industry experience is preferred.
We are looking for an Executive Administrative Assistant for a Nationally Ranked Top Advisor in the New York City Branch at Rockefeller Center. Prior administrative experience is required, preferably at another financial institution or another corporate environment.

The Role You Will Support
Private Wealth Management Advisors secure, develop and manages relationships with high net worth individuals, their families, family offices and foundations. Lead Advisors assist clients with building and preserving their financial wealth by creating and implementing long-term asset allocation within the context of each client’s particular risk tolerance, and by providing access to innovative investment ideas and opportunities. Equitable Advisor professionals develop customized investment strategies and offer a full array of wealth management products and services, including Estate Planning, Insurance Portfolio Construction and Maintenance, Asset Management, and Charitable Gifting and Financial Planning.
Daily Tasks:
- Provides administrative support to one senior top producer.
- Maintains frequently changing calendars through Outlook.
- Maintain CRM and Salesforce for New Prospects and Current Clients
- Coordinates all aspects of meetings and conference calls.
- Assists with creation/modification of presentations, spreadsheets, and other various documents.
- Assists with submitting and processing new account applications.
- Assists with preparing client quarterly review documents.
- Organizes and secures highly confidential client, company and advisor information.
- Highly proficient in MS Office (Word, Excel, Outlook, and PowerPoint). Salesforce Experience not required but is a big plus.
Qualifications
- Prior experience supporting a team or senior level executive.
- Prior experience working in a highly matrixed organization.
- College degree preferred.
- Expertise in multi-tasking, organizing, and prioritizing a must.
- Strong written and verbal communication skills.
- Detail-oriented with ability to work independently and prioritize workload.
- Demonstrates a high level of integrity and professionalism; exercises sound judgment.
- Energetic, responsive team player with the interest to take initiative and work in a fast-paced environment.
- Ability to manage meeting schedules across time-zones & geographies.
- Comfortable working in a virtual setting
- Quick response times.
