The Executive Assistant provides confidential administrative support to the Chief of Education, using extensive knowledge of the organization, of NGS’s policies, and a high level of technical skill. This position operates with considerable independent judgment and initiative, and collaboration with the education team.
Your Impact
Responsibilities Include
- Coordinates and maintains the Chief of Education's calendar to optimize time and information sharing. Coordinates all aspects of travel, meetings, and other events. Prepares, evaluates and verifies for accuracy expense reports, travel documents, contracts, and other documents. Monitors deadlines, follows up on delegated tasks, and provides appropriate reminders. - Assists with preparation of proposals, presentations, and speeches for Chief of Education for internal and external meetings. Drafts, proofreads, and edits mailings, correspondence, memorandums and other documents from the Chief of Education. Maintains records files. (25%)
- Greets guests and dignitaries and takes messages as representative of the Chief of Education. Coordinates staff meetings including preparation of agenda, materials, and coordinates AV to connect remote staff. Communicates closely with education coordinator to support departmental administrative needs and logistical support. (25%)
- Act as the confidential assistant to the Chief of Education, maintaining as confidential information, records, discussions etc. pertaining to sensitive management issues, personal management, program changes, and the like. Represent the office of the Chief of Education to other Senior Executives, dignitaries and special guests. (25%)
What You’ll Bring
Minimum Education Requirement
Bachelor's degree preferred.
Minimum Years and Type of Experience
5+ years of progressively responsible experience in administrative positions, including at least two years in an executive office.
Necessary Knowledge and Skills
- Ability to interact effectively with all levels of employees including executive/senior staff, Board of Trustees, dignitaries and other special representatives.
- Excellent oral and written communications skills, excellent organizational skills with high attention to detail.
- Ability to operate independently, prioritize, and meet deadlines.
- Good computer skills across suite of office computer programs including Microsoft Word, Excel, Google documents, keynote, PowerPoint and adobe suite and experience with basic online research.
- Demonstrated interest in the priority areas of the National Geographic Society.

Salary Information
As a leading nonprofit organization, National Geographic Society offers competitive salary and total rewards to attract, develop, and retain an innovative and dynamic workforce.
The salary range for this position starts at $80,000.
Job Designation
Resident - Our Resident category recognizes that certain staff need to be physically present at Base Camp to do their work. Some Resident staff must always be onsite to do their jobs, while others may only need to be physically present some of the time. Some Resident staff may need to come into Base Camp every day, some may need to come in to meet looming deadlines and to get work done, and others may require a more unique schedule. The days Resident staff come into the office will be determined by their teams and workflow, and they should work with their supervisors to determine their specific schedule. And throughout the year, their schedule can be adjusted based on cyclical work cycles, deadlines, and/or ebbs and flows of work. As a guideline, Resident staff will be in the office between 3-5 days a week.
